Administrative Operations Assistant Dayton, OH 45459 Full-time Full-time Administrative Assistant for Centerville, Ohio based Brokerage and Consulting Firm Centerville, OH 45459
SUMMARY:
This role provides essential day-to-day support and is responsible for handling administrative tasks, coordinating schedules, communicating with external clients and assisting with various projects as needed.Essential Responsibilities:
Manage calendars, schedule meetings, and coordinate appointments Prepare, edit and format documents, spreadsheets, reports, and presentations Prepare communications such as memos, emails, invoices, reports and other correspondence Maintain organized electronic document filing systems Support the planning and execution of meetings, events, and travel arrangements Provide general administrative support to leadership and team members Manage time-sensitive and confidential information with professionalism Monitors outstanding balances and follows up on past-due accounts. Communicates with customers to resolve billing discrepancies and payment issues. Collaborates with accounting, sales, and customer service teams as needed.Education & Experience:
- High School diploma or equivalent is required; college degree is preferred
- 1-3 years of experience in an administrative or office support role
- Prior paralegal experience is a plus
Skills & Abilities:
- Proficiency in Microsoft Office and Excel
- Basic understanding of accounting principles and procedures
- Skilled in preparing legal agreements and redlining documents
- Strong written and verbal communication skills
- Excelled organizational skills and attention to detail
- Professional demeanor, strong problem-solving skills and ability to work independently
- Ability to prioritize tasks and manage time effectively These job tasks are representative of those required to successfully perform the essential functions of this job.
