This contract opportunity with permanent potential is ideal for someone who can coordinate complex surgical cases with accuracy, urgency, and compassion while serving as a key point of contact for patients, providers, and hospital teams. The person in this role will oversee case scheduling, track preoperative requirements, and help keep each procedure on schedule through consistent communication and thorough documentation.
Responsibilities:
Coordinate neurosurgical procedure dates by aligning surgeon availability, patient readiness, co-surgeon participation, and hospital operating room schedules. Arrange operating room time and confirm essential case details, including procedure type, expected length, required equipment, implant needs, and any vendor or neuromonitoring support. Manage schedule changes, cancellations, and additions efficiently while communicating updates to all affected parties and addressing conflicts before they impact care. Identify needed preoperative testing and obtain required medical clearances from primary care physicians and specialists within established deadlines. Monitor incoming lab results, imaging, and clearance documents for completeness, escalating missing items or concerning findings to the appropriate clinical staff. Educate patients on pre-surgical instructions, answer scheduling-related questions, and direct clinical concerns to the appropriate provider or care team member. Maintain real-time documentation of scheduling activity, follow-up efforts, and case status within the electronic medical record and tracking systems. Review upcoming procedures to detect risks for delay, coordinate with authorization teams to confirm approvals, and ensure required records are submitted to the hospital before surgery. Protect patient privacy and handle all information in accordance with healthcare confidentiality standards. High school diploma or equivalent. At least 2 years of experience in surgical scheduling, medical office coordination, or a similar healthcare support role. Practical knowledge of medical terminology and preoperative scheduling workflows. Experience using EMR platforms and scheduling systems; Epic EMR familiarity is a plus. Strong communication skills with the ability to interact professionally with patients, physicians, hospitals, and outside offices. Excellent organizational skills and the ability to manage multiple active cases, deadlines, and follow-up tasks simultaneously. Experience with insurance verification, prior authorization support, or hospital operating room coordination is preferred. Background in neurosurgery, spine, or orthopedic scheduling is preferred.
