We are seeking a Community Operations Specialist to support our Community Managers and Accounting team in the day-to-day operations of our communities. The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced, team-driven environment.
Responsibilities:
Customer Service & General Support:
Maintain a professional appearance and congenial attitude toward visitors, clients, and team members Serve as the first point of contact for residents and clients via phone and email Provide excellent customer service and timely responses to inquiries and concerns Promote the company and assist with the management of client communities Perform other duties as assignedCommunity Management Support:
Maintain up-to-date resident contact information for communications Organize and maintain all community records, including resident files and shared data Ensure all required daily, weekly, and monthly reports are complete, accurate, and submitted on time Maintain working knowledge of governing documents, policies, and procedures Assist with compliance inspections, violation tracking, and notices Assist Community Managers with the Architectural Review process, including application intake, agenda preparation, and response letters Manage reservations, gate access, keys/fobs, and maintain accurate database records Investigate resident requests and assist in resolving concerns promptly Maintain board member directories and community calendars Update association websites and community portals Schedule meetings, conference rooms, and virtual conferencing logistics Assist with coordinating vendors and contracted work within communitiesMeetings:
Assist with preparation and distribution of board packets and management reports Attend board meetings and assist with meeting minutes and action itemsGeneral Office Duties:
Support day-to-day operations of the community management office Assist accounting team with entering deposits and processing invoices Participate in organizing community events and educational classesJob Requirements:
Strong organizational and multitasking skills Excellent written and verbal communication skills Customer service experience preferred Proficient in Google Suite and Microsoft Office Ability to learn multiple software systems Detail-oriented with strong accuracy and follow-through Ability to work collaboratively in a team environmentJob Type:
