The Medical Office Support/Scheduler handles patient check in and registration, processes incoming telephone encounters to physicians/providers, ensures appropriate scheduling, and insurance referral authorizations.
POSITION REQUIREMENTS
- High School Diploma or equivalent
- Previous experience in medical scheduling or a related field is preferred
- Familiarity with medical terminology and procedures is a plus
- Knowledge of medical office operations, including front desk procedures and patient registration
- Proficiency in using scheduling systems or software, such as Epic or similar platforms
- Understanding of HIPAA regulations and the importance of maintaining patient privacy
- Strong organizational skills and attention to detail to ensure accurate scheduling and record keeping
- Excellent communication skills to interact effectively with patients, healthcare professionals, and other staff members Bilingual preferred but not required
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
- Schedule patient appointments and manage the daily schedule for medical providers
- Coordinate with patients, healthcare professionals, and other staff members to ensure efficient scheduling and minimize wait times
- Maintain accurate and up-to-date patient records in the electronic medical scheduling system
- Follow HIPAA guidelines to maintain patient confidentiality and privacy
- Answer phone calls and respond to inquiries regarding appointments, procedures, and general information
- Assist with medical record management, including filing, scanning, and retrieving records as needed
- Collaborate with other departments or facilities to schedule necessary tests, referrals, or consultations
- Provide excellent customer service to patients by addressing their needs and concerns in a professional manner
- Additional duties as deemed appropriate
