Job Description

Collins Manufacturing Corp. is a third-generation family manufacturing business in Medford, Oregon, specializing in professional towing equipment, and offering our manufacturing services to other local companies. We are committed to providing value to our Customers, Team, and Community. Job Overview We are seeking a dynamic, proactive and highly organized Administrative & Operations Coordinator to join our team! This role will directly offload daily administrative, procurement and record-keeping tasks from our Operations Manager. Your positive, energetic approach and attention to detail will help foster an efficient, welcoming environment where team members can thrive. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to the overall success of our organization.
Duties Purchasing & Inventory Support:
Create Purchase Orders (POs) and item receipts. Follow up with suppliers on order statuses, lead times, and shipping delays.
Customer Invoicing:
Generate and issue accurate customer invoices based on completed production orders.
Vendor & Service Scheduling:
Coordinate visits with external service providers. Schedule routine and preventative maintenance to minimize shop floor downtime.
Supplier Relations:
Serve as a primary point of contact for vendors. Help build and maintain positive relationships to ensure reliable supply chains.
Onboarding & Records:
Maintain neat physical and digital filing systems for company documentation, safety logs, and standard operating procedures (SOPs). Help with onboarding as needed. Manage basic new-hire onboarding paperwork
Office Administration:
Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth. Operate multi-line phone systems, directing calls accurately and providing excellent customer service. Order office supplies and help keep office area organized and clean. Skills ( willing to train and develop self-motivated person, with little to no experience but a willingness to learn) Experience in office management, administrative support or related roles with strong organizational skills (preferred) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in general Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent phone etiquette and customer service skills for effective client communication Strong data entry skills with a focus on accuracy and attention to detail Ability to multitask efficiently in a fast-paced environment while managing time effectively Exceptional organizational skills with the ability to prioritize tasks independently Experience handling confidential information responsibly and professionally Join us as an Administrative & Operations Coordinator and become a key contributor to our vibrant team!
