BASIC PURPOSE
This position has been approved for a flexible work option arrangement. Flexible work options can be ended at any time by the College, Cabinet, and/or supervisors based on employee performance and/or as institutional needs change. This position will be open until Sunday, September 6th. Reporting to the Associate Director of Records and Registration, the Course Scheduling Specialist performs a variety of routine tasks related to the production of the College's schedule for Credit, Non-Credit, and Dual Enrollment offerings. This includes building course sections in Ellucian Colleague Student Information System and validating course section entry using CROA Reporting and Operating Analytics tool. This position also uses Astra Schedule to enter classroom assignments, maintain scheduling preference sets and room attribute information for classroom optimization, and runs reports for data requests, as needed.ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enter course schedules into the student information system including adding, updating, cross-listing, and cancelling sections. Support special program offerings with restricted course scheduling needs in collaboration with Coordinators, Payment and Financial Aid Offices.
- Utilize critical thinking and analysis skills to run, review, and validate course section data using reporting and scheduling systems. Identify and determine updates needed and process data correction based on course scheduling best practices and scheduling grids.
- Enter classroom assignments in Astra Schedule. Monitor, identify, and maintain updates to the scheduling preference set and room attributes in collaboration with Information Technology and other departments. Utilize reports to support data requests as needed.
- Process registrations, add/drops, and course withdrawals, specifically in support of the class cancellation process each session.
- Support the Enrollment Services area in a variety of duties including data entry, customer services, and telephone support. Specifically assist with the transcript verification process to support transcript evaluation.
- Support course section waitlist process including communications process regarding new section opportunities.
- Performs special projects and other related duties as assigned.
ESSENTIAL KNOWLEDGE AND SKILLS
1.Education/Training/Work Experience:
- High school diploma or GED required with 3 years work related experience required OR
- Associate's degree preferred with 1 to 2 years work related experience required
- Proficiency in computer skills required
- Excellent communication, both written and oral required 2.
Specialized Knowledge & Skills:
- Knowledge and use of Ellucian Colleague, reporting and operating analytics tools and classroom scheduling software preferred
- Demonstrated experience using Microsoft Office Word and Microsoft Office Excel required.
- Customer service skills
- Analytical, problem-solving, and critical thinking skills
