J Job Summary We are seeking an energetic and detail-oriented Administrative Assistant / Scheduler to join our dynamic team. You will manage daily office operations, coordinate appointments, and provide exceptional support to our staff and clients. Your proactive approach will ensure smooth office functioning and efficient scheduling, contributing to our continued success. Responsibilities Manage multi-line phone systems with professionalism and excellent phone etiquette, directing calls and providing customer support as needed Schedule appointments, meetings, and deadlines accurately using calendar management tools Handle front desk duties, greeting visitors warmly and maintaining a professional office environment Perform data entry, filing, and document proofreading to ensure accuracy and organization of records Support customer service efforts by responding promptly to inquiries and providing clear information Maintain organized files, perform clerical tasks, and support overall office operations to maximize efficiency Process financial reports including tax returns Manage postage and tracking of all important correspondence to clients Responsible to monthly invoice preparation to customers and periodic follow up on delinquent accounts. Must be attentive to details Responsible for everything that goes out the door to look professional Requirements Proven office management or administrative experience in a professional setting Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) Excellent organizational skills with the ability to prioritize tasks effectively Demonstrated phone etiquette, customer service skills, and professionalism in handling multi-line phone systems Strong organizational skills with the ability to manage calendars efficiently and meet deadlines Personal assistant or office clerical experience is advantageous Demonstrated ability to operate under pressure and tight deadlines Familiar with postage costs and tracking software Join us to be part of a dedicated team that values your organizational talents and proactive spirit.
