We are seeking an Operations Support & Reporting Coordinator to join our team. This is an administrative operations support role with a strong emphasis on organization, follow-up, documentation, Excel-based data organization, and practical reporting. The role is intended for someone with relevant experience who is comfortable managing detailed recurring work, tracking open items, and helping ensure operational processes move forward timely and accurately. The position supports key workflows by maintaining trackers, documenting status, coordinating follow-up, and using Excel to organize data and summarize practical information needed by the team. Initial responsibilities will be highly administrative and process-focused, with reporting used primarily to create visibility into open items, deadlines, and next steps. Over time, the role offers the opportunity to grow into broader operational reporting and process support, including helping improve follow-up tools, recognize recurring issues, and provide clearer status information to support management review. Provide clear visibility into open items, follow-up needs, and status updates across key operational support processes. Support timely, accurate, and well-documented processes by extracting and organizing data, maintaining trackers and documentation, coordinating follow-up with internal and external stakeholders, and escalating unresolved items with clear facts, owners, deadlines, and next steps. Support recurring dashboards, trackers, exception reports, and status reporting by gathering and organizing data, updating follow-up tools, identifying aging items or follow-up needs, and summarizing clear information for management review. Initial focus will be on utility administration and related follow-up processes. As the role develops, responsibilities may expand to include additional operational tracking and reporting support in areas such as move-out deposit follow-up, tenant charge and billback follow-up, work order and leasing-related reporting, contract tracking, basic Yardi data review, and cross-functional open item resolution.
Qualifications:
Associate's degree with bachelor's degree preferred. Three to five years of related experience in property management, accounting administration, operations support, utilities, reporting support, or a similar administrative coordination role.
Required Skills:
Strong follow-through and ownership of open items. Ability to manage recurring deadlines with strong attention to detail. Comfort with repetitive, high-volume transactional work. Clear written and verbal communication, with the ability to summarize issues, document facts objectively and escalate unresolved issues appropriately. Basic familiarity with accounting-related documents and processes, such as invoices, tenant charges, billbacks, reconciliations, and supporting documentation. Strong Excel skills, including the ability to organize and clean data, build and maintain detailed trackers, create practical reporting tools, summarize large data sets, identify exceptions or aging items, and develop spreadsheet-based views that support follow-up, accountability, and management review.
Preferred Skills:
Yardi or similar property management system experience. Interest or ability to help identify recurring process issues and suggest practical improvements over time. $55,000.00 - $70,000.00 per year
