This is an opportunity for someone who enjoys building relationships, takes ownership of their work, learns quickly, and wants to grow as the firm grows. You will work closely with our Financial Advisors and clients, helping coordinate service needs, manage important details, and keep client and operational processes moving forward. The right person will be proactive, dependable, comfortable with technology, and committed to ensuring tasks are followed through to completion. As our organization continues to expand, this position may offer opportunities to take on increasing responsibility and potentially develop into a future leadership role. Primary Responsibilities
- Provide a warm, professional, and welcoming experience for clients and visitors.
- Build rapport with clients and help ensure they feel recognized and valued.
- Answer and route incoming phone calls, assist clients when appropriate, and ensure messages and requests are followed through promptly.
- Schedule client appointments, maintain Advisor calendars, and help manage the firm's annual client review schedule.
- Track outstanding client and operational items and follow up as needed to ensure they are completed accurately and on time.
- Follow up with clients verbally and in writing to obtain required documents or information.
- Process client paperwork and assist with transaction and service requests.
- Maintain accurate electronic client records and documentation.
- Coordinate new and existing business processes with Advisors, clients, and outside partners.
- Maintain strict client confidentiality and safeguard personal and financial information.
- Assist with compliance-related procedures and documentation.
- Assist with client events, social media, office organization, and other administrative needs.
- Identify opportunities to improve workflows, procedures, and overall office efficiency. Technology & Systems Skills This position requires someone who is comfortable working in a technology-driven office environment and who can quickly learn new software, systems, and digital workflows.
- Be proficient with common business applications such as Microsoft Outlook, Word, and Excel.
- Demonstrate strong overall computer and technology aptitude.
- Be comfortable working across multiple software platforms and web-based applications throughout the day.
- Learn new systems and digital processes quickly with appropriate training.
- Be comfortable using technology for client relationship management, scheduling, document management, electronic forms, communications, workflow tracking, and other business functions.
- Be willing to embrace new technology and tools as the firm continues to improve its processes.
- Stay highly organized and maintain strong attention to detail.
- Take ownership of responsibilities and follow through until tasks are complete.
- Effectively manage multiple open items and ensure they are followed through to completion.
- Communicate warmly and professionally with clients and coworkers.
- Build strong relationships and make clients feel valued.
- Learn quickly and adapt to new systems, procedures, and technology.
- Work independently while communicating effectively with the team.
- Prioritize multiple responsibilities and exercise good judgment.
- Identify problems, take initiative, and look for ways to improve how work gets done.
- Take on increasing responsibility and develop leadership skills over time.
