A Scheduler or Operations Coordinator provides scheduling and logistical support for an office, company or organization. May specialize in scheduling required for production or for administrative work.
The Care Coordinator / Scheduler is responsible for supporting the day-to-day coordination of DignCare's non-medical home care services and serves as an important connection between clients, families, caregivers, and agency leadership. This position coordinates caregiver schedules, assists with staffing client assignments, maintains caregiver availability, supports new service starts, monitors required documentation, provides day-to-day operational oversight and routine coaching to caregivers, and helps ensure that services are delivered reliably and in accordance with established care plans and agency expectations. The ideal candidate is highly organized, responsive, dependable, compassionate, and comfortable making decisions within established authority. This position requires the ability to manage changing priorities, communicate professionally, solve scheduling challenges, and recognize when concerns must be escalated to the Administrator. As DignCare continues to grow, the Care Coordinator / Scheduler will play an important role in developing efficient care coordination practices and supporting a positive experience for clients, families, and caregivers.
ESSENTIAL DUTIES AND
RESPONSIBILITIESScheduling & Staffing Coordinate caregiver schedules based on client needs, location, schedule, caregiver availability, qualifications, and overall fit. Maintain current caregiver availability and scheduling information. Fill open shifts and respond promptly to call-offs, cancellations, schedule changes, and unexpected staffing needs. Confirm assignments and communicate schedules and changes clearly to caregivers. Identify scheduling conflicts, uncovered shifts, or staffing concerns and take appropriate action within established authority. Assist with arranging replacement coverage when a caregiver becomes unavailable. Monitor schedules to promote continuity of care, appropriate coverage, and dependable service delivery. Communicate unresolved or significant staffing concerns promptly to the Administrator. Support appropriate utilization of available caregivers as client census changes. Client & Family Coordination Serve as a professional point of contact for routine scheduling and service-related communication. Communicate caregiver assignments, schedule changes, and other appropriate service updates to clients or authorized representatives. Support new client service starts by coordinating approved schedules and caregiver assignments. Follow up on routine service concerns within the scope of the position. Promptly escalate significant changes in client condition, service concerns, complaints, incidents, or safety issues to the Administrator or appropriate supervisor. Maintain compassionate, respectful, and professional communication with clients and families. Help promote continuity and consistency in the client's care experience. Caregiver Coordination & Support Maintain regular communication with caregivers regarding schedules, assignments, availability, and operational expectations. Respond to routine caregiver scheduling questions and concerns. Follow up regarding call-offs, late arrivals, missed shifts, incomplete documentation, communication concerns, and other operational issues. Reinforce expectations regarding attendance, punctuality, professional communication, documentation, client service, and completion of assigned shifts. Help caregivers understand agency expectations and appropriately direct concerns outside the position's authority to the Administrator. Support positive, professional, and respectful relationships throughout the caregiver team.
SUPERVISORY AUTHORITY & ROUTINE COACHING
The Care Coordinator / Scheduler provides day-to-day operational oversight and routine coaching to caregivers within the scope of assigned responsibilities. The Care Coordinator / Scheduler is authorized to: Provide routine coaching, guidance, and performance feedback to caregivers. Address routine concerns involving attendance, tardiness, scheduling, communication, documentation, professionalism, and adherence to agency expectations. Reinforce established DignCare policies, procedures, and performance standards. Document coaching conversations, attendance concerns, performance issues, and follow-up actions. Establish reasonable expectations for correcting routine operational deficiencies. Follow up with caregivers to determine whether identified concerns have been corrected. Escalate repeated, serious, safety-related, or unresolved concerns to the Administrator. Recommend formal corrective or disciplinary action when warranted. Formal written disciplinary action, suspension, termination, hiring decisions, and other significant employment actions remain under the authority of the Administrator or other specifically authorized agency leadership. Any allegation or concern involving abuse, neglect, exploitation, client abandonment, significant client safety concerns, suspected misconduct, or other potentially reportable incidents must be escalated immediately in accordance with DignCare policies and applicable requirements.
DOCUMENTATION & ADMINISTRATIVE RESPONSIBILITIES
Monitor completion of required caregiver shift documentation and follow up when documentation is incomplete, inaccurate, or missing. Maintain accurate scheduling and care coordination records within agency systems. Document relevant client, caregiver, family, and scheduling communications as appropriate. Assist with maintaining accurate client and employee information within agency software systems. Support review of scheduling and timekeeping information needed for payroll and billing reconciliation. Identify discrepancies in scheduled versus reported hours and escalate unresolved discrepancies appropriately. Maintain confidentiality of client, caregiver, employee, and agency information. Complete assigned administrative responsibilities accurately and within established deadlines.
QUALITY & SERVICE SUPPORT
Monitor day-to-day service delivery for scheduling, communication, documentation, and caregiver performance concerns. Identify recurring patterns involving attendance, staffing, communication, documentation, or service delivery and communicate trends to the Administrator. Assist with appropriate follow-up after client or caregiver concerns. Support agency quality improvement activities and operational initiatives. Participate in staff meetings, training, orientation, and other agency activities as assigned. Promote DignCare's standards for dignity, compassion, reliability, professionalism, and person-centered service. Perform other care coordination and administrative duties consistent with the scope of the position and agency operations.
QUALIFICATIONS
Required:
High school diploma or equivalent. Strong organizational, communication, problem-solving, and time-management skills. Ability to manage multiple priorities and respond appropriately to changing or urgent situations. Strong attention to detail and ability to maintain accurate records. Professional written and verbal communication skills. Comfortable using computers, email, text communication, scheduling platforms, and other business technology. Ability to maintain confidentiality and exercise sound professional judgment. Reliable and responsive communication. Ability to work independently within established authority and recognize when escalation is necessary.
Preferred:
Previous experience in home care, senior living, healthcare, staffing, scheduling, care coordination, or a related field. Experience coordinating or scheduling caregivers or other hourly employees. Experience providing day-to-day staff oversight or coaching. Familiarity with non-medical home care services. Experience working with seniors, families, caregivers, healthcare providers, or community partners. Experience with electronic scheduling, home care management, CRM, or similar software.

SCHEDULE & AVAILABILITY
This is initially a part-time position averaging approximately 15-20 hours per week . Hours may increase as client census and agency operations grow. Because home care services may occur outside traditional business hours, some flexibility may be required to respond to urgent scheduling needs, caregiver call-offs, or service changes. Regular work hours, after-hours expectations, and any designated on-call responsibilities will be established by DignCare and communicated separately.
SCOPE OF AUTHORITY
The Care Coordinator / Scheduler is expected to exercise appropriate independent judgment within established DignCare policies, procedures, and assigned authority. Unless separately qualified, designated, and authorized, the Care Coordinator / Scheduler does not independently: Conduct clinical assessments or provide medical advice. Create or materially modify an approved client care plan. Promise services or caregiver availability that have not been confirmed. Establish or negotiate client rates or contractual terms. Authorize formal suspension or termination of an employee. Make regulatory reports on behalf of the agency unless specifically authorized. Perform duties legally or organizationally reserved for the Administrator or another designated supervisor. Matters outside the position's authority must be promptly escalated to the Administrator or appropriate designated agency leader.
PHYSICAL & WORK REQUIREMENTS
Ability to perform administrative duties involving computer and telephone use for extended periods. Ability to communicate effectively by telephone, email, text, and agency software. Reliable access to the communication technology required to perform assigned responsibilities. Ability to organize and maintain electronic records and information. Occasional local travel may be required for agency meetings, orientations, client-related activities, or other operational needs.
