About the Role Starlight Behavioral Health is seeking a detail-oriented, organized, and proactive Staffing & Scheduling Coordinator to join our team full-time. This essential position is responsible for coordinating schedules for Direct Support Professionals (DSPs), maintaining adequate staffing levels, managing call-offs and shift coverage, assisting with recruitment and onboarding, and ensuring employees meet all required training before assignment. Working closely with Operations, Residential Supervisors, Human Resources, and clinical leadership, you'll help ensure our residential programs remain fully staffed while supporting quality care, regulatory compliance, and operational excellence. This position is ideal for candidates with experience in healthcare scheduling, workforce management, staffing coordination, medical office scheduling, or residential services. What You'll Do As the Staffing & Scheduling Coordinator, you will: Develop employee schedules based on approved treatment plans and upload schedules into the Electronic Health Record (EHR) at least one week before scheduled assignments. Coordinate daily staffing needs, manage employee call-offs, and secure qualified replacement staff to ensure uninterrupted client care. Monitor staffing levels and proactively minimize overtime by reviewing schedules, employee hours, and available coverage opportunities. Review staffing schedules at least twice daily and respond promptly to schedule changes and staffing requests. Review and approve Paid Time Off (PTO) requests within three business days while following company policies. Verify that all employees have completed required training before assignments, including mandatory compliance training, client-specific training (DD6), crisis intervention training, CPR, First Aid, and medical needs training. Monitor attendance and communicate concerns regarding tardiness, absenteeism, or documentation issues to Residential Supervisors for follow-up. Participate in Admissions Planning Committee meetings to identify staffing needs and ensure appropriate staff assignments. Notify the Operations Manager of employee resignations and staffing changes. Meet monthly with the Director of Operations to review staffing trends, workforce planning, and operational needs. Assist with recruiting, interviewing, and hiring Direct Support Professionals (DSPs) to maintain adequate staffing levels. Coordinate new hire orientation and prepare onboarding materials. Support new employees throughout the onboarding process to ensure a smooth transition into their roles. Collaborate with leadership to maintain efficient scheduling processes and exceptional client care. What We're Looking For We're looking for an organized, dependable professional who enjoys balancing multiple priorities while supporting both employees and the individuals we serve. Required Qualifications High School Diploma or GED required. Associate's or Bachelor's Degree preferred. One (1) year of scheduling experience in a healthcare environment or three (3) years of scheduling experience in a high-volume environment coordinating schedules for 50 or more employees. Experience scheduling staff for West Virginia Intellectual & Developmental Disabilities (I/DD) Waiver residential services is strongly preferred. Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment. Excellent communication and customer service skills. Ability to build positive working relationships with employees, leadership, clients, and families. Strong problem-solving, critical thinking, and time management skills. Ability to work independently while collaborating effectively with multiple departments.
