General Summary of Duties:
Coordinates IT operational initiatives, technology projects, service-management improvements, documentation, training, and asset-management activities across the organization. The position works with the Helpdesk, Infrastructure, Cybersecurity, Clinical Applications, other internal teams, business stakeholders, and vendors to keep assigned work organized, documented, communicated, and moving toward completion. The IT Operations Coordinator also provides secondary technical support and assists with Helpdesk escalations, coaching, and training as needed, but is not the primary escalation owner for the Helpdesk.
Essential Functions:
Coordinates assigned IT infrastructure, service-delivery, security, application, and operational projects from planning through implementation and transition to support. Maintains project plans, schedules, milestones, action-item logs, risks, dependencies, decisions, and status updates; follows up with owners to promote timely completion. Organizes project and operational meetings, prepares agendas and materials, documents decisions, and communicates next steps to stakeholders. Assists with implementation and ongoing improvement of IT inventory and asset-management processes, including hardware, software, mobile devices, licensing, assignment, lifecycle status, and disposition records. Performs inventory reconciliation and audit support; works with technical teams to improve the completeness and accuracy of asset data. Partners with Helpdesk and IT leadership to improve ticket intake, categorization, routing, documentation, knowledge use, customer communication, and support workflows. Assists with Helpdesk escalations when requested, including troubleshooting, coordination with internal technical teams or vendors, and documenting resolution details and reusable knowledge. Provides coaching, training, and job aids for Helpdesk staff and end users on approved systems, procedures, troubleshooting practices, and newly implemented technology. Develops and maintains standard operating procedures, process maps, training materials, knowledge articles, implementation checklists, and support-transition documentation. Coordinates testing, user readiness, communications, training, go-live activities, issue tracking, and post-implementation follow-up for assigned initiatives. Supports the transition of new systems, services, locations, and workflows into operational support by confirming documentation, ownership, escalation paths, and training requirements. Collects and prepares operational metrics, project updates, asset-management reports, and other information needed for leadership visibility and decision-making. Coordinates activities with vendors and service providers, including scheduling, deliverable tracking, support follow-up, issue resolution, and documentation. Works collaboratively across RIA locations and supported facilities to ensure consistent processes and effective communication among technical and non-technical stakeholders. Follows RIA privacy, security, documentation, and change-management requirements and maintains the confidentiality of patient, employee, and organizational information. Participates in after-hours project implementation, maintenance, or issue-coordination activities when business needs require.
Education:
Associate degree in Information Technology, Business Administration, Project Management, or a related field preferred. A comparable combination of education, technical training, certification, and relevant experience may be considered.
Experience:
Three or more years of experience in IT support, IT operations, service delivery, project coordination, or a related technology role preferred. Experience coordinating multiple projects or operational initiatives with cross-functional teams. Experience with IT service-management or ticketing platforms and IT asset or inventory-management processes preferred. Healthcare, radiology, physician-practice, or other regulated-environment experience preferred.
Knowledge and Skills:
Knowledge of IT service-management concepts, Helpdesk workflows, incident and request handling, escalation practices, knowledge management, and continuous improvement. Skilled in coordinating project tasks, schedules, dependencies, risks, meetings, communications, testing, training, implementation, and transition-to-support activities. Working knowledge of endpoint hardware, software, mobile devices, identity and access processes, networks, infrastructure services, and common end-user technologies. Skilled in maintaining accurate IT asset, inventory, licensing, and lifecycle records. Experience with Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint. Experience with ServiceNow or a comparable ITSM platform is preferred. Skilled in writing clear standard operating procedures, knowledge articles, user guides, training materials, status reports, and executive-ready summaries. Knowledge of IT security, HIPAA, patient confidentiality, change control, and audit-readiness concepts applicable to a healthcare environment. Excellent verbal, written, facilitation, customer-service, and relationship-building skills. ITIL, CompTIA, Microsoft, project-management, or related certifications are preferred but not required.

Ability to organize and advance multiple projects and operational priorities simultaneously within critical deadlines. Ability to work independently, exercise sound judgment, recognize risks, and escalate barriers appropriately. Ability to collaborate effectively with Helpdesk, Infrastructure, Cybersecurity, Clinical Applications, vendors, leadership, and business stakeholders. Ability to explain technical information clearly to non-technical audiences and deliver effective training. Ability to troubleshoot technical issues within the scope of assigned knowledge and coordinate assistance when deeper expertise is required. Ability to analyze workflows and operational data, identify improvement opportunities, and translate findings into practical actions. Ability to maintain accurate records, protect confidential information, and consistently follow RIA policies and procedures. Ability to adapt to changing priorities and remain effective in a fast-paced healthcare IT environment.
Physical/Mental Demands:
Prolonged periods of standing and/or sitting at a desk and working on a computer. Work may require hand dexterity for the operation of office machines. Mobility to complete errands and travel between supported locations as needed. Must be able to lift up to 15 pounds at times. The position requires sustained attention to detail, organization of multiple priorities, and effective performance during time-sensitive or stressful situations.
Environmental/Working Conditions:
Work is performed in an office and/or remote work environment and may include work at RIA locations or supported facilities. The position may involve contact with staff, physicians, vendors, customers, and the public. Work may be stressful at times. Occasional evening and weekend work may be required for implementations, maintenance, or operational needs.
