Position:
Hiscock Legal Aid seeks a highly organized, dependable, and proactive Office Operations Assistant to help keep our offices running smoothly, efficiently, and professionally. This full-time position provides hands-on operational support to more than 120 employees across HLA's two downtown Syracuse office locations. This is a practical, hands-on position for someone who notices what needs to be done and takes care of it. The Office Operations Assistant works with administration, human resources, finance, information technology, vendors, program staff, and others to address a wide range of day-to-day operational needs. Responsibilities vary from day to day and include office support, supply management, vendor coordination, event logistics, onboarding support, records and mail, and general assistance to staff. The successful candidate is resourceful, service-oriented, comfortable working independently, and willing to take on a variety of tasks. The position requires someone who can prioritize competing needs, solve routine problems, work with diverse personalities, and take pride in maintaining an organized, professional, and welcoming workplace. The ideal candidate notices when something needs attention and takes the initiative to address it rather than waiting to be assigned the next task.
Responsibilities:
Managing, ordering, receiving, and restocking office, kitchen, and workplace supplies; monitoring inventory and anticipating operational needs; coordinating vendors and office services; maintaining kitchens, conference rooms, and common areas; supporting mail, deliveries, records retention, and file archiving; assisting with onboarding, workspace setup, and facilities-related needs; providing backup reception and administrative support; supporting meetings, fundraising events, and other organizational activities through preparation, logistics, setup, and breakdown; assisting staff across departments with practical operational needs; identifying opportunities to improve efficiency and organization; and completing special projects and other duties as assigned. The position also requires professionalism, sound judgment, and discretion when handling confidential client, personnel, financial, and organizational information.
Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. Relevant experience in office administration, operations, customer service, or a related field preferred. Strong organizational, communication, and customer service skills. Ability to manage competing priorities, work independently, and interact effectively with diverse personalities. Demonstrated initiative, resourcefulness, and problem-solving ability. Proficiency with Microsoft Office and general office technology. Professionalism and discretion with confidential information. Commitment to HLA's mission and serving people in need. Diverse economic, social, and/or cultural experiences. Sense of humor appreciated.

While HLA has a more expansive Work from Home Policy, the nature of this position does require a daily in-office presence.
