Position Summary We are seeking a highly detail-oriented, organized, and fast-learning Operations & Office Assistant to support daily business operations and project execution. This position combines project coordination, vendor and client communication, budget tracking, and general office administration . The ideal candidate is comfortable working with numbers, managing multiple priorities, communicating across teams, and keeping projects organized and on schedule. Key Responsibilities:
Project Coordination & Execution Support multiple projects from initiation through completion. Prepare, organize, and maintain project documentation, including project plans, schedules, scope documents, and status updates. Track project timelines, action items, deadlines, and deliverables. Follow up with internal teams and external partners to help keep projects on schedule. Assist with day-to-day project execution and issue resolution. Vendor, Client & Stakeholder Communication Coordinate communication among project teams, clients, vendors, manufacturers, logistics partners, and subcontractors. Follow up on project requirements, production schedules, shipping status, and other project-related matters. Help manage expectations and ensure project information is communicated accurately and promptly. Assist with coordinating and negotiating minor vendor or subcontractor terms within authorized limits. Budget Tracking & Cost Control Track project expenses and compare actual costs against budgets. Assist with identifying cost variances and maintaining accurate financial records. Organize quotations, invoices, purchase-related documents, and other project financial information. Identify potential cost-saving opportunities and communicate findings to management. Office & Administrative Support Provide general administrative and operational support for the office. Organize files, records, reports, and internal documentation. Assist with scheduling and coordinating meetings. Prepare meeting materials and follow up on action items as needed. Support cross-functional teams with daily operational needs. Process Improvement & Quality Assurance Review existing workflows and identify opportunities to improve efficiency and organization. Assist with implementing approved project management procedures and internal processes. Review and organize key project deliverables before client submission. Help maintain accurate and consistent project documentation and quality standards. Perform other related duties as assigned. Qualifications Associate degree or Bachelor's degree preferred. Education or experience in Interior Design, Architecture, Construction, Project Management, Business, Supply Chain, or a related field is a plus, but not required. Fluent in English and Mandarin Chinese , with strong verbal and written communication skills. Strong attention to detail and accuracy. Strong organizational and time-management skills. Ability to learn new systems, processes, and industry knowledge quickly. Comfortable working with budgets, expenses, quotations, invoices, and numerical data. Ability to coordinate multiple tasks and projects simultaneously. Strong communication and follow-up skills. Proficiency with Microsoft Office, Google Workspace, or similar business software. Ability to work independently while collaborating effectively with a team. Willingness to travel to customer or project locations as business needs require. Preferred Qualifications Previous experience in operations, project coordination, office administration, supply chain, logistics, construction, interior design, or a related environment. Experience communicating with vendors, manufacturers, contractors, or logistics providers. Basic understanding of project budgeting, purchasing, procurement, or cost tracking. Experience working in a cross-border or international business environment is a plus.
Pay:
$20.00 - $25.00 per hour Expected hours: 20.0 - 40.0 per week
