In 2014, I moved to Denver from New Zealand. In 2015, I bought a 1989 school bus off Craigslist and imported the first New Zealand-made ice cream blending machine into the U.S., and America's first New Zealand-style creamery was born. Today, we have two ice cream shops and three ice cream trucks. We're still a close-knit, founder-run team, and as we've grown, so has the amount of behind-the-scenes work it takes to keep everything running well. About the Role I'm looking for an Operations Assistant to work directly with me and help run the day-to-day side of the business, while I focus on the bigger picture and vision for Happy Cones. You'll have a real seat at our weekly leadership meeting, not just to take notes, and I want you there in person on Wednesday mornings so you can actually get to know our young, close-knit management team, not just work alongside us on a screen. I'll call on you as a member of the team for your opinion, and I'll lean on you as a thought partner to help me work through the best moves for Happy Cones. You'll research and recommend on decisions, like which payroll provider or vendor to switch to, and I'll make the final call and loop you in to implement it. This isn't a one-or-two-year stepping-stone position. I'm looking for someone who wants a team to belong to and the chance to grow into more responsibility as we grow, someone who wants to feel like they've found a home, not just a job.
No task is too small:
from troubleshooting the printer to helping screen job candidates before they reach my desk. What You'll Do To start, I want you to take a full look at our current systems and processes — across the shops, the trucks, and the back office, and figure out where we're falling short and what needs fixing first. That'll help shape where we focus once you're in. From there, here's what the role covers: Systems & AI Set up and optimize Claude Cowork for the business (a top early priority) Build AI-driven systems and workflows to make day-to-day operations smoother Clean up and organize our Google Drive Set up a password vault the management team can use Explore ways to use AI to systematize our ice cream truck booking process, working alongside our events manager Operations Research payroll providers and associated retirement plan options; present findings, then help implement my decision alongside our current bookkeeper Research and vet new vendors; present findings for my final decision Help run payroll once the new system is in place (by end of year) Keep our product pricing and production-volume spreadsheets up to date Troubleshoot everyday operational hiccups, whether it's equipment, tools, or whatever comes up Online Customer Experience Respond to Google reviews Reply to DMs and comments across our social media People & Team Attend and contribute to our weekly leadership team meeting Help with hiring: screen and vet candidates before they reach final-round interviews Support me directly with day-to-day check-ins and ad hoc requests What I'm Looking For Genuinely excited about AI, seeing it as a tool to build better systems, not a threat Comfortable using Claude Cowork and similar AI tools Strong research and organizational skills; you can present options clearly and let me decide Based in or near Denver and able to be in person every Wednesday morning for our leadership meeting; comfortable working remotely and independently the rest of the week, while staying available during the day Looking for a long-term team to grow with — not a short-term gig No task too small mentality, happy to jump between big-picture systems work and small practical fixes Prior admin/operations experience helpful, but mindset and reliability matter more than a specific background If this sounds like you, I'd love to hear from you.
