Rare, as approved 1. Position Summary The Operations Coordinator is a key connector between ProTec's Project Managers, field technicians, and service leadership. This role keeps daily operations moving by owning technician scheduling, managing job documentation, and running the full procurement process — from purchase orders to delivery tracking to Finance reconciliation. This position is ideal for someone who is highly organized, tech-proficient, and thrives in an environment where accuracy and follow-through directly impact job outcomes. You'll work closely with PMs and leadership to make sure crews are scheduled, materials are on-site, and nothing falls through the cracks. This is a hybrid role — 2 days in-office, 3 days remote after onboarding and probationary period . We're not looking for someone to fill a seat. We're looking for someone who owns their lane. Important - Read Before Applying This position involves: Managing technician schedules across multiple active projects simultaneously — changes happen fast. Issuing and tracking Purchase Orders with correct job costing — errors create real financial problems. Owning procurement from request to delivery — vendors, timelines, and follow-through are on you. Maintaining accurate records that Finance and PMs depend on — detail and consistency are non-negotiable. Working across multiple systems (scheduling, CRM, procurement) and switching priorities throughout the day. If you are not comfortable owning a process end-to-end, staying organized under pressure, and communicating clearly without being asked twice, this role will not be a fit.What We're Looking For:

Essential Duties & Responsibilities a. Scheduling & Dispatch Coordinate daily and weekly technician schedules across active projects and service calls Assign and adjust field staff based on job requirements, location, and availability Monitor job progress throughout the day and communicate changes to techs and PMs Maintain an accurate, up-to-date schedule in the company's project management and field service tools b. Job Documentation Create and manage work orders from open to close Ensure job records are complete, accurate, and properly coded in the company's systems Assist with close-out documentation, including photos, sign-offs, and job notes Maintain organized digital records consistent with company filing standards c. Procurement, Materials & Tools Own the procurement process for job materials and tools — from request through delivery Issue and manage Purchase Orders (POs) for all material and tool purchases, ensuring proper job costing and coding Verify vendor quotes, confirm pricing against approved costs, and flag discrepancies before orders are placed Track open POs and inbound deliveries, coordinating with vendors to keep jobs on schedule Maintain accurate records of all procurement activity — PO numbers, costs, vendors, and job codes — for Finance reconciliation Monitor tool and equipment inventory; initiate reorder or procurement requests when stock falls below job requirements Work with PMs to anticipate material needs ahead of job start dates and avoid last-minute sourcing d. Professionalism, Compliance & Accuracy Maintain a high standard of professionalism in all internal communications Follow ProTec purchasing and documentation policies, including PO approval thresholds Protect confidential vendor, cost, and project information appropriately Support Finance with accurate coding and reconciliation documentation 3. Required Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams) — daily use, no hand-holding Experience with or ability to quickly learn CRM, quoting, or operations platforms Comfortable using AI tools (Claude, ChatGPT, Copilot, or similar) to support daily work Strong written and verbal communication — clear, professional, and to the point Ability to manage multiple priorities in a fast-paced, field-service environment High attention to detail and proven follow-through b. Preferred Proficiency with Salesforce (CRM, reporting, or operations workflows) — strongly desired Background in operations coordination, dispatch, or field service support Experience with purchase orders, procurement workflows, or job costing Familiarity with project management or scheduling software Experience in construction, telecom, trades, or low-voltage / technology industry 5. Physical Requirements Primarily office-based and remote desk work with intermittent standing/walking Ability to lift and carry up to 25 lbs. occasionally (supplies, materials) Ability to work on a computer for extended periods 6.
