Job Description
- Client Scheduling Coordinator
- Community Autism Services | A Division of The Stepping Stones Group Part-Time | Fully Remote | $20-$28/hour

THE OPPORTUNITY
- We're looking for a detail-obsessed, fast-moving Scheduling Coordinator to join our remote Clinical Operations team on a part-time basis.

WHAT YOU'LL DO
- Build and manage client and therapist schedules using our practice management system (Lumary ABA), keeping everything accurate and up to date daily
- Proactively maximize schedule utilization — overscheduling strategically to account for cancellations and ensure authorized service hours are fulfilled
- Review daily reports to catch and resolve conflicts, overlaps, or gaps before they become problems
- Coordinate with clinical teams to align scheduling with client priorities, authorization requirements, and staff qualifications
- Factor in drive time, breaks, and compliance requirements when building sustainable schedules for therapists
- Verify staff certifications and ensure all sessions meet SSG policies and funding source requirements before scheduling
- Communicate schedule changes clearly and promptly to all relevant parties
- Contribute to scheduling and service fulfillment reports for the Clinical Operations team
WHAT WE'RE LOOKING FOR
Education:
- High school diploma or equivalent required
Experience:
- Prior experience in scheduling, coordination, or an administrative role preferred
Tech:
- Comfortable learning new platforms quickly; proficiency in Microsoft Office (Teams, Excel, Outlook, Word) required; Lumary ABA experience a plus
Skills:
- Exceptional attention to detail, strong organizational instincts, and the ability to juggle competing priorities without dropping the ball
Communication:
- Clear, professional written and verbal communication with both internal teams and external stakeholders
Compliance:
- Commitment to HIPAA regulations and client confidentiality — non-negotiable
