Job Description
Vein Institute of South Mississippi is seeking a motivated, detail-oriented Treatment Plan Coordinator/Scheduler to serve as the vital link between our patients, providers, and insurance processes. This is a hybrid role that blends clinical scheduling, insurance verification, and patient financial counseling approach to guiding patients through their treatment journey. The ideal candidate is a confident communicator who is comfortable discussing medical procedures, insurance benefits, and costs with patients, while keeping the procedure schedule running smoothly and efficiently. This role requires someone who thrives in a fast-paced medical office and takes ownership of both patient experience and practice operations. Key ResponsibilitiesProcedure Scheduling & Coordination Serve as the primary point of contact for scheduling patient procedures across all clinic locations Maintain and manage the master procedure schedule as the top priority of the role, ensuring optimal provider utilization and minimal gaps or overlaps Coordinate scheduling logistics between patients, providers, and clinical staff Proactively manage cancellations, rescheduling, and waitlists to keep the schedule full and efficient Communicate pre-procedure instructions and follow-up appointment needs to patients Insurance Verification & Financial Review Verify patient insurance benefits and eligibility prior to scheduled procedures Review and prepare cost estimates for treatments based on insurance coverage and plan benefits Explain insurance benefits, out-of-pocket costs, and financial responsibility clearly to patients Identify and resolve discrepancies or issues with insurance authorizations or coverage Stay current on payer requirements, prior authorization processes, and documentation needs Financial Counseling & Patient Consultation Present treatment plans and associated costs to patients in a clear, confident, and consultative manner Assist patients in understanding their financial options, including payment plans and financing arrangements Work with patients to find solutions that support treatment acceptance while maintaining practice financial policies Follow up with patients who have pending treatment decisions to encourage scheduling and plan completion Track and report on treatment acceptance and conversion rates Administrative & Cross-Location Support Travel periodically to satellite/other clinic locations as needed to support scheduling and patient coordination (travel stipend provided) Maintain accurate and organized patient records related to scheduling, insurance, and financial arrangements Collaborate with front office, billing, and clinical teams to ensure a seamless patient experience Assist with other administrative duties as assigned QualificationsRequired High school diploma or equivalent (Associate's degree or higher preferred) 2+ years of experience in a medical office setting, preferably in scheduling, insurance verification, or patient financial counseling Working knowledge of medical insurance processes, including verification of benefits and prior authorizations Strong organizational skills with the ability to manage a complex, multi-location schedule Excellent communication and interpersonal skills, with comfort discussing both medical and financial topics with patients Comfortable in a role that combines patient care with sales/consultative conversations Proficiency with electronic health records (EHR) and scheduling software Reliable transportation for occasional travel between locations Preferred Experience in a vein clinic, vascular practice, aesthetics, or other elective/cosmetic medical specialty Familiarity with
