Founded in 1992, PFBA is an outreach center of the University of South Dakota Beacom School of Business and serves family businesses, sponsors, advisors, and partners throughout the region. We are looking for a self-motivated, highly organized, and service-focused professional to join our team. This position plays an important role in the day-to-day operations of PFBA and helps ensure our members, sponsors, program participants, and partners receive an exceptional experience. The ideal candidate enjoys helping people, pays close attention to details, can manage multiple priorities, and takes ownership of seeing tasks through to completion. What You'll Do Member & Partner Support Provide exceptional customer service to PFBA members, sponsors, advisors, program participants, and partners. Assist with membership, sponsorship, program, registration, payment, and general questions. Help create a professional, responsive, and welcoming experience for those interacting with PFBA. Financial & Administrative Operations Manage membership, sponsorship, and program invoicing, collections, and payment processing. Complete financial transactions and maintain accurate records in Banner Finance. Coordinate vendor contracts, purchasing, reimbursements, and vendor payments. Maintain organized and accurate financial and administrative records. Follow University and Board of Regents policies and procedures related to financial, purchasing, contracting, and administrative activities. CRM & Data Management Maintain accurate member, sponsor, and participant information in HubSpot CRM. Support data entry, reporting, and ongoing database accuracy. Help ensure the PFBA team has reliable information to support programs, communications, and member engagement. Programs & Events Assist participants with registration, payment, travel, and logistical questions. Support the PFBA team with event preparation and administrative coordination. Executive & Team Support Provide executive assistant support to the Executive Director, including scheduling, meeting preparation, travel coordination, and follow-up. Provide administrative support across the PFBA team. Coordinate day-to-day office operations and maintain organized electronic and physical records. Manage competing priorities, deadlines, and follow-up activities in a fast-moving environment. What We're Looking For The successful candidate will be someone who is dependable, organized, proactive, and genuinely enjoys working with people.
Strong candidates will demonstrate:
Excellent customer service and interpersonal skills. Strong written and verbal communication. Exceptional attention to detail and follow-through. Ability to prioritize, problem-solve, and manage multiple responsibilities. Ability to work independently with limited direct supervision while collaborating effectively with a small team. Proficiency with Microsoft Office applications. Comfort working with data, systems, and financial or administrative processes. Flexibility to occasionally work different hours or locations in support of PFBA programs and events. Experience with Banner, HubSpot CRM, WordPress, or office management is preferred. A bachelor's degree is preferred, ideally in business, communications, or a related field.
