Position Summary The Operations Support Specialist is a hands-on support role that helps keep the business running smoothly across departments while also supporting speed study coordination and reporting. This person is a reliable "go-to" for office and operations support—someone who can jump in, solve problems, follow through, and figure things out without needing constant direction. This role is ideal for a self-starter who enjoys variety, can manage multiple priorities, communicates well, and can handle confidential information with discretion. Key Responsibilities Speed Studies Coordinate and support speed study requests from internal teams and agency partners Organize study details, timelines, locations, and requirements; communicate with stakeholders to ensure accuracy Compile and format speed study outputs and summaries (spreadsheets, charts, basic visual summaries) Maintain organized records for speed studies (inputs, results, notes, and final deliverables) Identify missing information early and proactively follow up to keep studies moving Office & Operations Support Support day-to-day office operations (supplies, mail/shipping, visitors, meeting logistics) Serve as a support point for internal operational requests across departments Track priorities, action items, and deadlines; follow up to ensure completion Support internal communications (updates, reminders, training/survey links, documentation requests) Maintain organized digital and physical files (including confidential documents) Reporting, Tracking & Administrative Support Create and maintain trackers and recurring reports (hiring status, training completion, basic KPIs as assigned) Support data accuracy across systems; ensure leadership has current, clean information Build simple dashboards/visuals in Excel as needed Assist accounting/finance with administrative support: collecting documentation, tracking invoices, and basic reporting Coordinate vendor needs as requested (supplies, service providers, certificates/renewal documents) Compliance, Vendors & Risk Support (As Needed) Support multi-state business administration tasks (registrations/filings coordination, record retention) Coordinate with insurance broker(s) for renewals and required documentation tracking Help ensure onboarding/offboarding steps are followed (checklists, access requests, equipment tracking) Qualifications Education & Experience Bachelor's degree in Business, Operations, Criminal Justice, Data/Analytics, or related field (or equivalent experience) Minimum 2-3 years of experience in an operations support, coordinator, admin support, or similar role Top Skills Strong Excel skills (filters, formulas, clean formatting; charts a plus) Organized and detail-oriented with strong follow-through Ability to manage multiple priorities and meet deadlines Clear communication and customer-service mindset (internal teams + external partners) Comfortable learning new tools/systems and troubleshooting issues Discretion when handling confidential information Ideal Candidate Traits (what we're really looking for) Go-getter with a "see it, own it, finish it" mindset Naturally curious and able to figure things out with limited direction Proactive—spots issues early and brings solutions, not just problems Flexible and calm in a fast-paced environment Strong sense of urgency and accountability Reporting Relationships This role reports to the CFO and works closely with Field Ops, Service, Processing, HR, and other department leaders.
