Job Overview We are seeking a detail-oriented, experienced Medical Assistant with strong medical scheduling experience to join our team in a dedicated Scheduling role. The ideal candidate will be well-versed in Athenahealth/AthenaOne , have a strong understanding of medical office scheduling workflows, and be comfortable managing a high volume of patient appointments. This position requires excellent attention to detail, strong communication skills, and the ability to effectively coordinate between patients, providers, and the clinical team. The Scheduling Medical Assistant will play an important role in ensuring provider schedules are optimized, patients are scheduled appropriately, and the overall patient experience is efficient and professional. Key ResponsibilitiesPatient Scheduling & Appointment Management Schedule, reschedule, and cancel patient appointments in Athenahealth/AthenaOne . Manage provider schedules to ensure appointments are appropriately scheduled based on provider availability, visit type, and clinical needs. Accurately schedule new patients, established patients, follow-ups, procedures, and other appointment types. Identify scheduling conflicts and work proactively to resolve them. Monitor open appointment slots and work to maximize provider schedules. Maintain accurate and organized appointment schedules throughout the day. Follow established scheduling protocols and provider preferences. Athenahealth / EHR Responsibilities Demonstrate proficiency in Athenahealth/AthenaOne scheduling and patient management workflows . Accurately enter and update patient information within the EHR. Review appointment details to ensure the correct provider, appointment type, duration, and scheduling requirements are selected. Document scheduling-related communications and patient interactions appropriately. Utilize Athenahealth tools and workflows to support efficient scheduling and patient communication. Patient Communication & Customer Service Communicate professionally and compassionately with patients by telephone, text, and other approved communication methods. Confirm appointments and send appointment reminders as required. Assist patients with scheduling questions and provide clear instructions regarding upcoming appointments. Reschedule appointments when necessary while maintaining an efficient provider schedule. Handle patient concerns professionally and escalate issues appropriately when needed. Maintain a positive, patient-centered approach during all interactions. Schedule Optimization Review daily provider schedules for openings, cancellations, and opportunities to improve appointment utilization. Assist with filling open appointment slots and maintaining appropriate provider productivity. Coordinate with the clinical and administrative teams regarding schedule changes and patient needs. Monitor cancellations and no-shows and assist with backfilling available appointment times. Communicate scheduling concerns or recurring issues to management. Patient Information & Insurance Verify and update patient demographic and insurance information as needed. Ensure required information is available prior to appointments. Follow established insurance and scheduling requirements. Assist with identifying potential scheduling or eligibility issues and communicate them to the appropriate team member. Team Collaboration Work closely with providers, Medical Assistants, front-office staff, referral staff, and management to maintain an efficient patient flow. Communicate schedule changes and patient needs promptly with the appropriate team members. Assist other team members with scheduling-related questions and coverage when needed. Participate in maintaining consistent scheduling practices across the clinic. Administrative Support Assist with general medical office duties as needed. Maintain accurate records and documentation. Assist with scanning, faxing, filing, and other administrative responsibilities when necessary. Follow all clinic policies, procedures, HIPAA requirements, and patient privacy standards. QualificationsRequired High School Diploma or equivalent. Previous experience in a medical office or healthcare setting . Previous experience with medical appointment scheduling . Strong computer and EHR skills. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to manage multiple tasks in a fast-paced healthcare environment. Professional and compassionate approach to patient interactions. Preferred Previous experience with Athenahealth/AthenaOne is strongly preferred. Medical Assistant certification (CMA, RMA, CCMA) preferred. Experience scheduling in a primary care or family medicine practice. Experience working with high-volume provider schedules. Familiarity with insurance verification and eligibility processes. Experience with patient communication platforms, including appointment reminder and texting systems. Ideal Candidate The ideal candidate is someone who: Is highly experienced and confident with medical scheduling . Has hands-on experience using Athenahealth/AthenaOne . Understands how to schedule patients appropriately based on visit type and provider availability. Can quickly learn and follow provider-specific scheduling preferences. Is comfortable working in a high-volume environment. Has excellent telephone and customer service skills. Is organized, dependable, and detail-oriented. Can work independently while also being a strong team player. Takes ownership of their schedule and understands the importance of keeping provider schedules full and efficient. Demonstrates professionalism, patience, and compassion when working with patients. Working Conditions Full-time position in a medical office environment. Primarily a scheduling and patient coordination position. Frequent computer and telephone use. May require occasional standing, walking, and assisting with general clinic operations. Ability to work effectively in a fast-paced healthcare environment. Pay:
From $16.00 per hour Expected hours: 35.0 - 40.0 per week
