Scheduling Coordinator

Key Dental is a patient-focused, out-of-network dental practice that prioritizes organization, efficiency, and patient experience over volume . The Scheduling Coordinator is responsible for protecting the doctor's schedule, maximizing chair utilization, and ensuring every patient interaction is professional, clear, and respectful. This role is not basic appointment booking. The Scheduling Coordinator actively manages the schedule to reduce gaps, minimize no-shows, support production goals, and maintain a smooth patient flow. Success in this position requires attention to detail, strong communication skills, and strict adherence to systems and SOPs. Responsibilities Scheduling & Patient Flow Schedule new and existing patients accurately based on procedure type and time requirements Protect the doctor and hygiene schedules to maximize efficiency and production Confirm appointments, manage recalls, and reduce cancellations and no-shows Fill same-day and short-notice openings proactively Communication & Patient Experience Handle inbound and outbound calls professionally and confidently Clearly explain appointment expectations, policies, and next steps Maintain calm, respectful communication—even in high-volume call periods Systems & Documentation Maintain accurate scheduling notes and communication logs in Open Dental Follow all SOPs related to scheduling, confirmations, and patient follow-up Use Kasper (VoIP system) and other tools to track calls and outcomes Team & Growth Support Coordinate closely with Treatment Coordinators and clinical team Support new patient exam (NPE) flow and ongoing patient retention Contribute ideas to improve scheduling efficiency and patient experience Qualifications & Skills Previous dental scheduling or front-office experience preferred Proficiency with Open Dental PMS and VoIP systems (Kasper preferred) Strong phone presence and communication skills Highly organized, detail-oriented, and reliable Ability to follow systems, scripts, and SOPs consistently Comfortable with outbound calls and schedule recovery Benefits Competitive pay with growth and advancement opportunities Performance-based bonuses Paid training and structured onboarding Health insurance options Paid time off (PTO) Employee dental benefits Supportive, systems-driven work environment Clear expectations, accountability, and room to grow What We're Looking For This role is ideal for someone who: Takes ownership of the schedule and outcomes Understands that scheduling directly impacts patient care and production Thrives in a structured, performance-driven environment Values professionalism, consistency, and teamwork If you are organized, dependable, and take pride in running a tight schedule, Key Dental offers a stable, growth-oriented environment to build a long-term career.
