Position Summary The Office Scheduler is the daily operational hub of the agency, responsible for matching caregivers to client shifts, filling schedule gaps quickly, and keeping communication flowing between clients, caregivers, and the Administrator. This role requires someone highly organized, calm under pressure, and comfortable juggling a constantly shifting schedule in a small-office, close-knit environment. Key Responsibilities Build, maintain, and adjust daily/weekly caregiver schedules to match approved client care plans Fill open shifts quickly by contacting available, qualified caregivers, including last-minute call-offs Match caregivers to clients based on skill set, location, availability, and client preference/compatibility Enter and maintain accurate schedule data in the agency's scheduling/EVV (Electronic Visit Verification) system Serve as the first point of contact for caregiver call-offs, client schedule change requests, and day-to-day scheduling questions Track caregiver availability, time-off requests, and certification/credential expiration dates Confirm shift coverage in advance and follow up on missed clock-ins/clock-outs via EVV Communicate schedule changes clearly and promptly to both clients/families and caregivers Participate in an on-call rotation for after-hours or weekend scheduling emergencies Maintain organized scheduling records to support payroll accuracy and compliance audits Escalate unresolved staffing gaps, client concerns, or caregiver issues to the Administrator Qualifications 6 months-1+ year of scheduling experience, ideally in home care, home health, or another healthcare setting Experience with scheduling/EVV software (e.g., AlayaCare, ClearCare/Alora, WellSky, Kinnser) a plus Strong organizational skills and comfort multitasking in a fast-paced, frequently changing environment Excellent phone, written, and interpersonal communication skills Ability to stay calm and solve problems quickly during last-minute schedule disruptions Basic proficiency with Word, Excel, and email/calendar tools Reliable transportation; valid driver's license often required for occasional client-home visits
