Laredo, TX Job Details Full-time From $15 an hour 18 hours ago Qualifications Spanish Teamwork Customer service English Administrative experience High school diploma or GED Client invoicing Driver's License QuickBooks Time management Office experience Full Job Description Administrative and Operations Assistant Job Summary We are seeking a highly organized, detail-oriented, and proactive Administrative and Operations Assistant to support the day-to-day activities of our trucking company. This position combines administrative, billing, bookkeeping, dispatch, and operational support responsibilities. The ideal candidate will help maintain smooth communication and coordination between the office, drivers, dispatch operations, and our in-house maintenance shop. This is a support position and does not include supervisory or management responsibilities . Key Responsibilities Prepare customer invoices and assist with billing activities. Record and track payments and provide basic bookkeeping support. Assist with accounts receivable and general administrative accounting tasks. Organize and maintain physical and electronic files and records. Assist with daily dispatch activities and operational coordination.
Maintain updated information regarding:
Driver availability and work schedules. Truck and equipment availability. Units that are in service or out of service. Maintenance and repair status. Coordinate communication between the office, drivers, dispatch, and the in-house maintenance shop. Follow up on maintenance and repair work orders to help minimize equipment downtime. Assist with scheduling and coordination of trucks, drivers, and operational activities. Maintain accurate operational records, reports, and documentation. Assist with general office duties and other administrative tasks as needed. Qualifications Previous administrative or office experience. Experience in the trucking, transportation, logistics, or related industry is preferred.
Basic understanding of:
Billing and invoicing. Accounts receivable. Payment processing. Basic bookkeeping procedures. Proficiency with QuickBooks and Microsoft Office , including Excel and Outlook. Comfortable learning and working with transportation, billing, or accounting software. Strong organizational and time-management skills. Flexible schedule required. Hours may vary depending on operational needs. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Bilingual English/Spanish is required. Preferred Skills Previous experience working with a trucking or transportation company. Familiarity with dispatch operations. Experience using transportation management systems or trucking software. Strong attention to detail and accuracy. Good problem-solving skills. Ability to follow up on pending items and keep information organized. Ability to work independently while also collaborating with a team. Dependable, proactive, and professional. Customer-service-oriented attitude. Ideal Candidate The ideal candidate is someone who enjoys being involved in different areas of the business and can help keep the office and daily operations organized. This person should be comfortable switching between administrative work, billing, driver and truck status updates, dispatch support, and communication with the maintenance shop throughout the day.
