Administrator / Clinical Director Position Summary The Surgery Scheduling Specialist is responsible for coordinating all aspects of the surgical scheduling process, ensuring patients are fully prepared for their procedures. This role serves as the primary point of contact for patients, guiding them through scheduling, medical clearance, anesthesia coordination, and pre-operative requirements to ensure a smooth and timely surgical experience. Key Responsibilities Surgical Scheduling & Coordination Schedule surgical procedures in collaboration with providers, surgery centers, and hospitals Coordinate and confirm surgery dates, times, and locations Ensure alignment between provider availability, facility schedules, and patient needs Medical Clearance Coordination Communicate with patients regarding required pre-operative medical clearances Coordinate with primary care providers and specialists to obtain clearance documentation Track and follow up on pending clearances to ensure completion prior to surgery Verify all required labs, EKGs, and testing are completed and received Anesthesia Coordination Communicate anesthesia requirements to patients and surgical facilities Ensure all anesthesia-related documentation is completed and submitted Coordinate with anesthesia providers as needed for scheduling and case readiness Patient Communication & Education Serve as the main point of contact for surgical patients Provide clear instructions regarding: Pre-operative requirements Surgery logistics Arrival times and preparation Answer patient questions and address concerns in a timely, professional manner Documentation & EMR (DrChrono or similar) Accurately document all scheduling details, communications, and requirements in EMR Maintain organized and up-to-date surgical logs and patient records Upload and track clearance forms, test results, and surgical documentation Follow-Up & Case Management Monitor each case to ensure all requirements are completed prior to surgery Proactively identify and resolve scheduling or documentation issues Communicate any delays or changes to patients, providers, and facilitiesQualifications Required:
2+ years of experience in: Medical scheduling (surgical preferred) Patient coordination or front office roles Strong organizational and multitasking skills Excellent communication and customer service skills Experience with EMR systems (DrChrono preferred) Ability to manage multiple cases in a fast-paced environmentPreferred:
