Plastic Surgery Practice | Plano, Texas Full-time | $25-$32 per hour, depending on experience Hybrid — at least three days per week in person We are seeking an organized, personable Surgery Coordinator / Surgical Scheduler to join a plastic surgery practice at its new Plano location. Our practice provides cosmetic and reconstructive care, including breast reconstruction. You will work closely with the surgeon, RN, and front-desk staff to coordinate surgery, manage insurance authorizations, and help patients navigate scheduling and financial arrangements. Responsibilities Surgery scheduling Schedule surgeries and coordinate hospital and surgery-center requirements, anesthesia coverage, equipment, and implant or device representatives. Track required referrals, clearances, and documents, and communicate outstanding items to the RN and surgeon. Maintain an organized surgery schedule and follow up with patients who are ready to schedule. Initially schedule consultations and preoperative/postoperative appointments, transitioning routine appointment scheduling to front-desk staff as they are trained. Provide front-desk staff with appointment guidelines and timelines related to surgery. Insurance and financial coordination Verify insurance eligibility, plan type, and referral requirements. Obtain surgical prior authorizations and required insurance referrals; track requests through completion. Prepare surgeon-approved cosmetic quotes, explain payment arrangements, collect payments, and document transactions. Coordinate CareCredit financing and complete applicable CosmetAssure registrations. Manage patient balance follow-up and payment posting, including mailed payments. Resolve routine billing questions and coordinate documentation requests and unresolved issues with the billing agency. Patient communication and administrative support Manage surgery-related calls, messages, referrals, and patient follow-up. Initially help cover routine calls, voicemail, practice messages, faxes, website inquiries, and registration. Transition routine tasks to front-desk staff while retaining responsibility for surgical coordination. Send scheduling information and clinical instructions approved by the RN or surgeon. Route medical questions and concerns to the RN or surgeon. Coordinate administrative portions of FMLA and other patient forms for clinical review. Ensure signed consents, implant checklists, operative reports, and outside records are uploaded into the EMR. Coordinate delivery of consultation notes, clinician-approved orders, and clearance requests. Coordinate office supply orders, laundry services if needed, and other administrative needs, including scheduling office services, deliveries, and vendor visits. Clinic support — typically 1-2 days per week Work alongside the RN to help room patients, obtain vital signs and clinical photographs, and chaperone examinations. Help prepare, stock, and turn over examination rooms. Provide front-desk coverage until that position is filled, and backup coverage afterward. Perform clinical support duties according to training and practice protocols, with guidance from the RN and surgeon. Qualifications Previous surgical scheduling or surgery coordination experience. Experience independently handling insurance verification, referrals, and surgical prior authorizations. Strong organizational skills and reliable follow-through. Clear, compassionate communication with patients. Comfort discussing cosmetic quotes, collecting payments, and handling routine billing questions. Experience with electronic medical records and document management. Ability to work independently and collaborate with the clinical team. Availability to work at least three days per week in person in Plano, including all scheduled clinic days. Plastic surgery, breast reconstruction, or medical-assistant experience is preferred. Familiarity with patient lead tracking and CRM systems is a plus. Compensation, benefits, and growth $25-$32 per hour, based on relevant experience. Paid time off accrued at eight hours per month, totaling 96 hours annually for full-time employees, for vacation, illness, and personal time. Six paid holidays annually, separate from PTO. Eligibility to participate in the practice's 401(k) after one year of service, subject to plan eligibility and entry dates. Potential to grow into a practice-management role as the practice expands, based on performance, leadership, and business needs. Work arrangement This is a full-time hybrid position requiring at least three days per week in person at our Plano office, including all scheduled clinic days. Remote administrative days depend on training, office coverage, and practice needs. The hybrid schedule is subject to change as the practice grows and may require additional in-person attendance.
