Job Description

Job Overview We are seeking a highly organized and detail-oriented Surgical Scheduler to join our healthcare team. In this vital role, you will coordinate and manage all aspects of surgical scheduling, ensuring seamless communication between patients, physicians, and surgical staff. Your proactive approach will help optimize operating room utilization, improve patient experience, and support clinical workflows. Duties Schedule surgeries efficiently by coordinating with physicians, patients, and surgical staff using advanced EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, and eClinicalWorks Verify patient insurance coverage and obtain pre-authorizations for procedures in compliance with health insurance policies including Medicare and HIPAA regulations Review medical documentation, care plans, and clinical notes to ensure accuracy and completeness prior to scheduling Maintain detailed records of surgery dates, patient information, CPT (Current Procedural Terminology) codes, ICD-9/ICD-10 diagnosis codes, and billing details Communicate clearly with patients via phone and front desk interactions regarding appointment details, preparation instructions, and post-operative follow-up Collaborate with clinical teams to ensure all necessary medical records are prepared and available for upcoming surgeries Manage electronic health records (EHR) systems efficiently while adhering to confidentiality policies and medical terminology standards Requirements Experience in medical scheduling or administrative support within a clinical or hospital setting is preferred Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; proficiency in Microsoft Office suite is preferred Familiarity with medical billing processes including CPT coding, ICD-9/ICD-10 coding, and Medicare requirements Excellent organizational skills with the ability to multitask in a fast-paced environment while maintaining attention to detail Exceptional communication skills—both phone etiquette and customer service—to provide outstanding patient service Ability to review medical documentation accurately and ensure compliance with HIPAA and clinical confidentiality policies Bilingual abilities are a plus to effectively serve diverse patient populations Strong computer skills including typing (10 key typing), filing, data entry, and electronic health record management Prior clinic or medical office experience is highly desirable Join our team as a Surgical Scheduler where your expertise will directly impact patient care delivery!
