Job Description
This position is central to the missionaries' role to 'Invite others to come unto Christ by helping them receive the restored gospel through faith in Jesus Christ and His Atonement, repentance, baptism, receiving the gift of the Holy Ghost, and enduring to the end.' This Operations Assistant position is an entry support level individual contributor that supports administrative and secretarial needs for the Provo MTC Travel Office. Assistant typically is a first point of contact for the area and works with a team of other assistants to provide support/service. If you are in school, or have other commitments, please include a document showing your availability to work in addition to a resume. There is a specific need for coverage on Mondays between 12pm-5pm, Tuesdays during early-morning checkouts (as early as 3am-8am), and Wednesdays through Fridays between 8am-12pm.
Required:
- Familiar with computers and MS office applications, including Word, Excel, and Outlook
- Excellent Public Relation skills
- Ability to handle stressful situations
- A high degree of personal organization and self-management
- Manage complex and highly confidential information
- Excellent social skills, able to operate with diplomacy, tact, and empathy
- Ability to manage multiple tasks and achieve deadlines under pressure
- Ability to understand and strictly uphold policies and procedures
- Flexibility with work schedules (24/7 coverage is provided by certain areas of operations teams)
- Ability to learn new computer programs quickly To successfully perform the essential functions of the job, there may be physical requirements which need to be met such as sitting for long periods of time and using monitors/equipment.
Preferred:
- Returned missionary,
- Fluency in a second language
- MTC experience
- 1 year of office experience Reports to the manager of the Provo MTC Travel Office May include a combination of the following:
- Answers both internal and external phone calls and directs to appropriate department as necessary
- Corresponds and works with MTC employees and ecclesiastical staff, MTC and church departments, missionaries, and general public
- Greets, welcomes, and provides directions for MTC official visitors and visiting public
- Communicates MTC standards, protocols and policies to missionaries and visiting personnel
- Oversees inventory of various things (keys, missionary materials, office supplies, mtc vehicles, etc.) and orders supplies as needed
- Assists missionaries (check in, materials, schedules, travel arrangements, legal documents, emergencies, etc.)
- Receives, packages and ships materials for missionaries
- Organizes and reviews missionary information/items in preparation for arrival to MTC or departure from MTC and arrival at mission
- Facilitates travel arrangements and itineraries for missionaries
- Tracks important missionary information
- Assists in making adjustments for missionary schedule/travel changes May be assigned additional lead responsibilities:
- Assists in the interviewing, hiring and training of new team members
- Assists in team trainings and implementation of new policies/practices
- Assists in evaluating processes to increase efficiency and accuracy May include other temporary assigned duties at the MTC (e.
