In this vital role, you will coordinate and manage surgical appointment schedules, ensuring seamless communication between patients, surgeons, and clinical staff. Your expertise will help optimize operating room utilization, facilitate efficient patient flow, and uphold the highest standards of clinical confidentiality. This position offers an exciting opportunity to contribute to patient care excellence through precise scheduling and administrative support. Responsibilities Schedule surgical procedures accurately within electronic health record (EHR) systems such as eClinicalWorks, ensuring all necessary documentation is complete. Confirm patient insurance coverage and verify pre-authorizations with health insurance providers, including Medicare and other payers. Review medical records and documentation to ensure completeness and compliance with HIPAA regulations before scheduling surgeries. Communicate effectively with patients via phone and in person to provide appointment details, answer questions, and offer exceptional customer service. Coordinate with physicians offices and clinical personnel to optimize operating room schedules and resource allocation. Maintain accurate records of all scheduled procedures, cancellations, reschedules, and related documentation in compliance with clinical confidentiality policies. Utilize computer skills to manage EMR/EHR platforms efficiently while adhering to medical coding standards such as CPT codes, ICD-9/10 codes for billing accuracy. Requirements Proven experience in medical scheduling within a clinical or hospital setting; clinic experience preferred. Knowledge of medical billing, coding (including
ICD-10/ICD-9
), CPT coding, and health insurance processes. Familiarity with EMR systems such as eClinicalWorks; experience with electronic health records management is essential. Excellent organizational skills with the ability to review medical documentation thoroughly and accurately. Exceptional customer service skills combined with professional phone etiquette and effective communication abilities. Bilingual abilities are a plus to serve diverse patient populations effectively. Proficiency in Microsoft Office Suite including Word and Excel; typing skills (10-key) are required for efficient data entry. Knowledge of clinical confidentiality policies and healthcare regulations such as HIPAA is mandatory. Previous experience working in a medical office or front desk environment is highly desirable. Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced setting.
