National Vascular Associates is seeking a highly organized and patient-focused Surgical Scheduler Assistant to join our growing team. This full-time role is essential to ensuring a seamless experience for patients undergoing vascular procedures by coordinating scheduling, authorizations, pre-operative requirements, and communication between patients, providers, and healthcare facilities. The ideal candidate is detail-oriented, proactive, and experienced in surgical or procedural scheduling within a fast-paced healthcare environment.
Key Responsibilities:
Coordinate and schedule outpatient procedures with patients, physicians, ambulatory surgery centers, and procedural staff. Serve as a primary point of contact for patients, providing education, scheduling assistance, and ongoing support throughout the care process. Obtain and track required insurance authorizations, referrals, and pre-operative clearances to ensure timely procedure scheduling. Communicate procedure instructions, preparation requirements, pre-operative testing needs, and post-procedure follow-up information to patients. Maintain accurate and up-to-date procedure schedules and patient records within the electronic health record (EHR) system. Ensure all required documentation, consents, medical records, and forms are completed, collected, and properly maintained. Respond promptly and professionally to inquiries from patients, providers, insurance carriers, and healthcare facilities. Collaborate with clinical, administrative, and operational teams to support efficient workflows and deliver exceptional patient care. Monitor scheduling changes and coordinate updates with all stakeholders to minimize disruptions and optimize patient access. Perform additional administrative and operational duties as assigned by leadership. High School diploma or equivalent Minimum of two (2) years' experience as a surgery scheduler. Must have experience working with medical insurance processes, prior authorizations, and eligibility. Experience with Electronic Health Records (EHR), Athena preferred Excellent communication and interpersonal skills. Attention to detail and accuracy. Must be a reliable professional. Excellent computer literacy. Ability to work independently and in a fast-paced environment. Excellent organizational and planning skills. Experience in Vascular surgery scheduling highly desirable.
