The Scheduling Coordinator is an integral part of our team. The Scheduling Coordinator contributes to our success by providing warm and friendly interactions for patients to coordinate their oral health care needs.

JOB RESPONSIBILITIES
Communicates with patients via phone calls, text messaging, emails, letters, etc. to ensure that all schedule openings are full. Schedules new patients, re-care appointments, treatment appointments, and unscheduled appointments. Pulls reports (such as unscheduled treatment, broken appointments, or reactivation lists) and calls and texts patients to schedule treatment. Reviews the schedule to ensure it is full and scheduled to production goals and has a smooth flow. Consistently follows up with patients to remind them of treatment needs and coordinates with their schedule. Follows up in 2 days, 2 weeks, and 2 months on treatment plans that weren't scheduled. Sends letters to patients with unscheduled treatment over 3 months. Manages patient reminders including "recall cards", texts, emails, and reminder calls. Completes confirmation phone calls to ensure that the appointments for the next two days are confirmed. Records touch points with patients and organizes a regular schedule to follow up with patient care. Answers questions about treatment or coordinates with the office manager or doctor to answer patients' treatment questions. Assists with office correspondence by answering phones promptly and responding to phone messages and reception emails. Creates new patient welcome packets. Manages reactivation campaigns for patients not seen within the last 24 months. Emails radiographs and referrals to specialists and assists patients with scheduling specialist appointments. Discusses available payment plans with patients for scheduled treatment. Completes cross training in front office related tasks. Actively looks for ways to assist with front office responsibilities and duties. Contributes to team effort by assisting clinical staff (e.g. perio-chart, deliver instruments) and related tasks as needed.

EDUCATION, EXPERIENCE, AND LICENSING REQUIREMENTS
High school diploma or equivalent Preferred three years of related experience
WORKING CONDITIONS / PHYSICAL REQUIREMENTS
Position requires long periods of sitting. Moderate noise levels from dental and other lab equipment. Work in proximity to chemicals and human blood/tissue.
