Job description: Staffing & Scheduling Coordinator

Please read this ENTIRE job description before applying. This is not traditional appointment scheduling. We are looking for an experienced Staffing & Scheduling Coordinator who knows how to put the pieces of a constantly changing schedule together—and understands the real-life challenges behind those changes. You'll coordinate schedules for 50+ field employees serving 60+ individuals across multiple locations. What This Job Is Really About Scheduling caregivers is a lot like putting together a puzzle—except the pieces can change throughout the day. A caregiver's child wakes up sick. Someone's car won't start. A caregiver calls out an hour before an assignment. A client suddenly needs different coverage. Someone can work—but only if the location and timing make sense. Your job is to understand the day in the life of a caregiver , look at the entire puzzle and figure out what can be moved, changed or rearranged while making sure the people we serve still receive the care they need. Sometimes there is an obvious answer. Sometimes there isn't. We need someone who can think, prioritize, communicate and keep working the problem. What You'll Do Coordinate daily schedules for 50+ field employees Maintain coverage for 60+ individuals Handle call-outs, cancellations and last-minute changes Fill open assignments based on availability, location, qualifications and individual needs Talk with caregivers to understand what is happening—not simply mark them unavailable Recognize when one schedule change affects three others Communicate with employees, individuals receiving services and other involved parties Spot potential coverage problems before they become emergencies Maintain accurate schedules and documentation Work across scheduling software, CRM, Outlook, Excel and other systems Take ownership of scheduling problems and follow them through to resolution Can You Put the Puzzle Together? It's 7:30 AM. Two caregivers have called out for 9:00 AM assignments. One has a sick child. The other has car trouble. You have one caregiver available who could cover either assignment—but not both. Meanwhile, another caregiver calls because her availability has changed. Where does your available caregiver make the most sense? Who else could potentially help? Which client has the most urgent need? Who needs to be called? What can be rearranged? That is this job. We aren't looking for someone who simply enters schedules into a computer. We're looking for the person who can put the puzzle back together when real life pulls it apart. What We're Looking For 2+ years of employee scheduling, staffing, dispatching, service coordination or similar high-volume scheduling experience preferred Experience coordinating 20+ employees simultaneously strongly preferred Experience handling call-outs and last-minute staffing changes Strong Outlook, Word and Excel skills Comfortable learning new scheduling and CRM software Excellent communication and organizational skills Ability to prioritize several issues at once Sound judgment and independent problem-solving skills Dependable, accountable and persistent with follow-through Experience in home care, healthcare, human services, staffing, transportation/logistics, field services or senior living is especially valuable. You understand that sometimes "my child is sick" or "my car won't start" isn't the end of the conversation—it's the beginning of figuring out Plan B. You don't panic when the schedule you had at 7:00 AM looks completely different by 9:00 AM. And when something isn't resolved, you don't assume someone else will handle it. You stay with it until the puzzle comes together.
