Shipping and Receiving Specialist Job Description We are seeking a highly organized Shipping and Receiving Specialist to manage outbound and inbound shipments, ensuring timely delivery and precise documentation. This role is crucial in maintaining inventory control and optimizing logistics processes. Responsibilities Handle outbound shipments by picking, packing, labeling, and scheduling carrier pickups (UPS/FedEx/LTL/TL) to ensure on-time delivery and proper documentation such as BOLs, packing lists, and export documents. Receive inbound goods, inspect deliveries, verify purchase orders, record discrepancies, and stage items for storage or production. Perform inventory control by conducting cycle counts, reconciling inventory variances, updating ERP/WMS records, and maintaining accurate bin locations. Follow product-specific packaging standards, hazmat requirements (if applicable), and freight class rules to ensure compliance. Manage carrier relationships by comparing rates, tracking shipments, filing claims, and maintaining strong partnerships with carriers and freight forwarders. Identify process bottlenecks and recommend improvements to safety, accuracy, and throughput for continuous improvement. Provide order support by confirming purchase orders, providing lead times and shipping estimates, and coordinating changes or expedited requests. Communicate with customers via phone, email, and chat to provide order status, tracking information, returns/RMA instructions, and post-sale support. Resolve issues related to damaged shipments, shortages, incorrect items, and billing questions by coordinating with warehouse, sales, and accounting teams. Maintain professional and empathetic relationships with customers, proactively notifying them of delays or inventory constraints. Essential Skills Strong experience in inventory management, shipping and receiving, and logistics coordination. Proficiency in customer service, SAP, packing, ERP systems, data entry, and Microsoft Office applications. Skilled in picking, packaging, and using RF scanners. Competency in Microsoft Excel. Additional Skills & Qualifications 2-4 years of experience in shipping/receiving, logistics coordination, customer service, or administrative support, preferably in manufacturing or distribution. Technical proficiency with UPS/FedEx/DHL portals and MS 365 (Outlook, Excel, Word, Teams). Basic understanding of carrier rules, freight classes, BOLs, and packaging standards; knowledge of export documentation is a plus. High school diploma required. Why Work Here?
