SHIPPING & RECEIVING CLERK
Location:
Strasburg, VA Reports to: Logistics Manager Position Summary The Shipping & Receiving Clerk coordinates daily inbound and outbound activity at the recycling plant, including appointments, driver processing, shipment inspection, documentation, inventory transactions, material tracking, and recordkeeping. Working with the Logistics Manager, production, warehouse personnel, carriers, suppliers, customers, freight forwarders, and customs brokers, the clerk supports efficient material flow and compliance with safety, chain-of-custody, environmental, and other applicable requirements. The clerk owns routine shipment execution and documentation; carrier selection, rate negotiations, routing changes, customer commitments, nonstandard costs, and major exceptions require Logistics Manager approval. Essential Duties and Responsibilities Receive, inspect, and verify incoming materials, supplies, and equipment against purchase orders, packing lists, delivery receipts, and shipping documents; enter receiving and inventory transactions promptly. Process outbound shipments; confirm material is properly packaged, labeled, staged, documented, and ready; and prepare bills of lading, manifests, chain-of-custody records, packing lists, weight certificates, delivery receipts, and labels. Schedule pickups and deliveries and maintain the inbound, outbound, dock, and yard schedule; coordinate routine communications with carriers, suppliers, customers, brokers, forwarders, and internal departments using approved carriers and routing instructions. Check drivers in and out; verify the carrier, tractor, trailer or container, appointment, shipment reference, and seal; assign dock doors or staging locations; and communicate loading and unloading instructions. Verify quantities, material classifications, lot or batch details, gross/tare/net weights, scale tickets, and supporting records; reconcile discrepancies and report material, weight, or documentation issues immediately. Maintain the shipment tracker, including carrier, reference number, material, quantity or weight, appointment, arrival, departure, status, and exceptions; track material movements and provide status updates. Record trailer, container, and seal numbers; verify seal integrity when applicable; obtain and file signed proof of delivery; and follow up on missing, incomplete, or inaccurate paperwork. Maintain accurate shipping, receiving, inventory, transportation, scale, and chain-of-custody records; conduct cycle counts, support physical inventories, and follow company document-retention requirements. Monitor inventory, packaging levels, and reusable assets—including pallets, steel bins, Gaylords, super sacks, and other returnable containers—and maintain issue, return, and balance records. Organize import records supplied by brokers or forwarders, including arrival notices, customs releases, delivery orders, container and seal details, and final-delivery appointments. Investigate shipping and receiving errors, shortages, damaged or contaminated goods, rejected material, missed appointments, and transportation issues; support freight claims with photographs, signed records, weights, and inspection evidence. Escalate delays, customs holds, rejected loads, detention, demurrage, accessorial charges, recurring carrier problems, and other significant service, cost, inventory, safety, or compliance exceptions. Communicate material availability, shipment priorities, schedules, and exceptions to logistics, warehouse, production, maintenance, quality, environmental, management, and other authorized personnel. Maintain Excel reports and KPIs for shipment status, carrier performance, inventory discrepancies, and on-time pickup or delivery performance. Keep shipping, receiving, document-control, dock, and staging areas clean, safe, and organized; follow safety policies and support continuous improvement in logistics, inventory, documentation, packaging, material flow, and warehouse operations. Perform other duties as assigned. Decision Authority and Escalation The clerk may coordinate routine appointments, provide approved information, correct clerical errors, and follow established procedures. The Logistics Manager retains authority for carrier selection or changes, freight-rate negotiations, nonstandard accessorial costs, routing changes, customer delivery commitments, and major service, customs, inventory, or compliance decisions. Immediately escalate safety concerns; suspected contamination or misclassification; significant weight, quantity, or inventory discrepancies; damaged or rejected loads; missing customs releases; detention or demurrage risk; and anything that may disrupt production or customer delivery. Qualifications High school diploma or GED required; associate degree in Logistics, Supply Chain, Business, or a related field preferred. Two or more years of shipping, receiving, warehouse, inventory-control, transportation-coordination, or logistics-support experience preferred; manufacturing, industrial, recycling, metals, or distribution experience is a plus. Experience with inventory, ERP, warehouse-management, transportation, or logistics software preferred. Working knowledge of bills of lading, packing lists, delivery receipts, scale tickets, shipment labels, and inventory transactions. Strong attention to detail, accurate and timely recordkeeping, organization, time management, and the ability to prioritize multiple tasks in a fast-paced industrial environment. Effective written and verbal communication skills, including communication with drivers, carriers, suppliers, customers, and internal teams. Proficiency with Microsoft Office, particularly Excel and Outlook. Ability to work independently and as part of a team, follow approval boundaries, and apply a basic understanding of transportation, inventory, warehouse operations, and chain-of-custody controls. Physical and Work Requirements Ability to stand and walk for extended periods and move safely among office, warehouse, dock, yard, scale, and production areas. Ability to lift and move up to 50 pounds occasionally, with reasonable accommodation where applicable. Ability to work in warehouse, yard, and manufacturing environments, use required PPE, and operate standard office and warehouse technology, including scanners, handheld devices, printers, and scale or shipment systems. Ability to work overtime, weekends, or adjusted schedules as required to support operational needs.
