The Classified Administrator FS Warehouse is responsible for managing and supervising FS Warehouse staff to include training, assigning daily activities, monitoring daily efficiency, monitoring daily accuracy and performance evaluations. Overseeing daily warehouse operations, including receiving, storing, and distributing perishable and dry goods while ensuring strict food safety compliance. The Classified Administrator FS Warehouse is also responsible for programming alerts/monitoring 24/7/365 standalone web-based temperature alarm system for all walk-in coolers and freezers as well as facilitating kitchen equipment repairs for all sites. .QUALIFICATIONS
Training and Experience (position requirements at entry): High School Diploma or General Equivalency Diploma (G.E.D.) Minimum of five years of progressively responsible supervisory/managerial experience in inventory control, warehouse operations and distribution, preferably within the food service industry.PERFORMANCE RESPONSIBILITIES
Provides leadership and collaborates with staff to ensure a high-performance, customer service-oriented work environment aligned with the department's mission and goals. Hire and manage drivers to include assigning daily activities, monitoring daily efficiency, monitoring daily accuracy, monitoring daily production, daily monitoring/approving TCP, annual evaluations, discipline as needed and in accordance with applicable policies. Contact for kitchen managers with kitchen equipment, building maintenance and delivery issues and or questions. Create routes based on logistical efficiency as well as labor efficiency. Analyze all food and supply POs to provide input in regards to over/under ordering to cost effectively cover total demand, avoid shortages and dead stock. Schedule all food service warehouse deliveries balancing available space to total demand requirements. Identify items and quantities to move to Downs outside freezer to create space in the food service warehouse freezer. Maintains cleanliness and orderliness of the warehouse and food service vehicles. Physically assist in receiving all deliveries to include unloading, separating, counting, documenting credits, stocking and receiving into Visions. While routing/printing Visions orders for daily deliveries to the schools analyze the orders for accuracy and make necessary changes as well as substitutions for like items. Physically assist in prepping daily routes to include pulling, staging and checking remaining quantities in inventory to confirm inventory accuracy. Monitors integrity of products utilizing first in first out and monitoring use by and best by dates. Manage the inventory using established processes and Visions to ensure accuracy and ensure that all employees follow these processes. Annually count all inventory, make necessary adjustments and provide the required reports for the annual audit. Identify items that are not moving so they can be put on the menu and routed to the schools for use to prevent waste. Track KPI to identify warehouse optimization opportunities, implementation strategies and performance metrics. Program alerts for standalone web-based temperature alarm system for all walk-in coolers and walk-in freezers. Monitor the system and facilitate timely resolution to system issues, gateways/sensors down, no signal, website down, etc. Respond to 24/7/365 alarm notifications with a resolution to avoid food loss which involves coordinating off hour repair or product movement. Work with B&O on planned power outages to monitor and coordinate product movement if necessary. Facilitate all kitchen equipment repairs documented via FMX workorders sent from the food service module. Determine what periodic maintenance needs to be done on all kitchen equipment. Process outside vendor invoices for approval of kitchen equipment repair. Ok to pay, accuracy and validation that work is complete. Close out the work orders in FMX documenting the repair and cost. Make repair or replace decisions for kitchen equipment based on quote for repair, asset tag research for age/original cost and FMX history to determine dollars being spent on the equipment. Facilitate transfer and disposal of capital equipment utilizing drivers and processing the proper paperwork. Provide input on where to spend excess funds to enable educated decisions. Work with B&O leadership to resolve B&O work orders for each site if they are affecting the site's ability to function efficiently/safely. Responsible for facilitating maintenance and repair of all food service vehicles utilizing FMX and Cartwright's transportation department. Responsible for facilitating maintenance and repair of all food service material handling equipment utilizing drivers and an outside vendor. Process outside vendor invoices for approval of material handling equipment repair. Ok to pay, accuracy and validation that work is complete. Performs other duties as assigned.KNOWLEDGE AND SKILLS
Knowledge of applicable Cartwright School District department policies and procedures. Must be able to pass a fingerprint and background check. Must have the ability to be on call 24 hours a day, 7 days a week if services are required. Possess AZ driver's license, ability to obtain forklift certification and food handler's card. Leadership ability to manage and lead a team. Knowledge of inventory control/warehousing methods, procedures and policies. Knowledge of purchasing practices and procedures. Knowledge of safe work practices and correct techniques pertaining to loading/unloading trucks, handling and storing items. Knowledge of software applications used to prepare documents, spreadsheets, databases, and inventory control reports. Knowledge of Key Performance Indicator (KPI) principles and practices in assessing inventory management and training methods, techniques, and practices. Knowledge of vehicle and material handling equipment maintenance practices. Knowledge of kitchen equipment maintenance practices. Knowledge of temperature alarm applications, maintenance and alert programming. Knowledge of management principles, supervisory practices and procedures, and customer service principles and techniques. Proficient with computer-based management systems for inventory control and fulfillment as well as office applications. Excellent analytical skills. Ability to prioritize, schedule, assign, train and review the work of employees. Ability to give and follow verbal and written instructions. Ability to ensure the work environment is safe and free of hazards. Ability to correctly identify items according to specifications and maintain accurate inventories of products/supplies. Ability to review inventory reports for accuracy and completeness and identify and resolve discrepancies found in such reports. Ability to perform basic mathematics accurately when inventorying items. Ability to enter information into a database and manage data accuracy and integrity. Ability to work independently, use sound judgment, organize and prioritize work. Ability to establish and maintain effective working relationships with those contacted in the course of work. Ability to communicate effectively verbally and in writing; comprehend and adhere to all security policies, guidelines, and procedures. Ability to perform multiple tasks and a variety of duties simultaneously. Ability to develop and apply procedures. Ability to investigate and resolve problems. Ability to meet predetermined deadlines. Ability to make quick and accurate decisions. Ability to effectively work under pressure with frequent interruptions. Ability to operate basic office equipment (computer terminals, printers, copy machines, telephone systems, etc.).
