Job Description

About the Role We are looking for a detail-oriented and organized Warehouse Administrator to support our fast-paced HVAC service operations. In this entry level role, you will serve as the central link between our inventory management, vendor network, and field service team. You will ensure our technicians have the right materials for every job while maintaining accurate warehouse data and tracking stock levels.
Key Responsibilities Inventory & Data Entry:
Maintain accurate stock records, update inventory databases, log received goods, and track material usage across jobs. Input data into computer software, track price changes.
Vendor Ordering:
Contact suppliers and manufacturers to place orders for parts, materials, and equipment; follow up on delivery timelines and back orders.
Technician Material Staging:
Stage, log, and assign tools, equipment, and materials to HVAC service technicians before their daily dispatch.
Receiving & Inspection:
Inspect incoming shipments for accuracy and damage, verify packing slips against purchase orders, and re-stock shelves.
Warehouse Organization:
Help keep the warehouse organized, clean, and safe for daily operations.
Qualifications & Requirements Experience:
Experience in warehouse administration, office coordination, or inventory management (experience in HVAC, plumbing, or electrical supply is a big plus).
Technical Skills:
Proficiency with data entry, inventory management software, and basic office programs (Excel, Word, Outlook, Teams).
Communication:
Strong communication skills via phone and email for vendor coordination and team handoffs. Need to be able to speak English and Spanish.
Physical Capability:
Ability to lift, up to 25 lbs. and stand/walk for extended periods.
Language:
