Full Job Description Job Summary:
The Mailroom Supervisor is responsible for managing the daily operations and supervision of activities in the Mailroom. This role involves overseeing and actively assisting with daily activities and logistics, such as coordinating room deliveries, scheduling shipping needs for meetings and events, mail pick-up and delivery both internally and externally, and supervising inbound and outbound shipments. The Mailroom Supervisor also plays a key role in scheduling, training, and coaching Mailroom team members.
Responsibilities:
1. Manage and supervise all daily activities in the Mailroom, ensuring efficiency and effectiveness. 2. Coordinate room deliveries and shipping needs for meetings and events. 3. Oversee mail pick-up and delivery, both internally and externally. 4. Supervise inbound and outbound shipments, ensuring accurate and timely processing. 5. Schedule, train, and coach Mailroom team members to maintain high standards of service. 6. Monitor department revenue by projecting revenue, balancing cost-of-sale, and submitting freight invoices. 7. Ensure accuracy in billing processes to maintain balance between receivables and payables. 8. Monitor freight rates and liaise with courier account representatives to address bulk value and service issues. 9. Maintain shipping and receiving equipment and software to optimize operations.
Qualifications:
1. High school diploma or equivalent; additional certification in shipping and logistics is a plus. 2. Proven experience in a supervisory role within a mailroom or shipping environment. 3. Strong knowledge of shipping procedures, mailroom operations, and logistics management. 4. Excellent organizational and multitasking skills to handle multiple priorities effectively. 5. Ability to lead and motivate a team to achieve goals and objectives. 6. Proficient in using shipping and receiving software and equipment. 7. Strong communication and interpersonal skills to collaborate with team members and external partners. 8. Detail-oriented with a focus on accuracy and efficiency in all tasks.
