Position Overview The Food Service Warehouse Manager is responsible for the safe, accurate, and timely operation of the district food service warehouse and delivery program. The manager supervises Food Service Delivery Drivers, receives and stores deliveries, maintains inventory records, and develops efficient delivery routes and schedules for district schools. The position works closely with Sodexo management and Holyoke Public Schools staff to ensure that food, supplies, materials, and equipment reach each location when needed and in accordance with district, Sodexo, food-safety, and regulatory requirements. Essential Responsibilities Supervises, assigns, directs, and supports Food Service Delivery Drivers; communicates daily priorities and confirms that assigned deliveries are completed safely and on schedule. Develops and adjusts daily and weekly delivery routes based on school needs, order volume, staffing, vehicle availability, delivery windows, and urgent requests. Coordinates regularly with Sodexo management regarding product needs, delivery priorities, menu-related supply requirements, inventory levels, shortages, substitutions, and schedule changes. Receives incoming food, supplies and materials; verifies quantities and condition against purchase orders, packing slips, bills of lading, or other receiving documents. Reports damaged, missing, incorrect, or temperature-compromised products promptly and works with Sodexo management, district staff, and vendors to resolve discrepancies. Maintains an organized, clean, secure, and food-safe warehouse. Ensures that products are labeled, rotated, and stored in the proper locations and under required conditions. Maintains accurate inventory records and conducts routine physical counts. Monitors stock levels, expiration dates, usage patterns, and reorder needs to reduce shortages, excess stock, spoilage, and waste. Uses first-in, first-out inventory practices when appropriate and ensures refrigerated, frozen, dry, chemical, and non-food items are stored and handled separately and safely. Plans loading and staging so that deliveries are accurate, balanced, protected from damage or contamination, and arranged in practical route order. Monitors the condition, cleanliness, availability, and servicing of assigned delivery vehicles and equipment. Reports repair needs and removes unsafe equipment from service when necessary. Provides drivers with direction on safe loading, unloading, material handling, vehicle operation, and customer service at district locations. Responds to missed deliveries, staffing shortages, vehicle issues, weather conditions, school schedule changes, and other operational disruptions; revises routes and assignments as needed. Maintains professional communication with school staff, Food Service personnel, vendors, district departments, and Sodexo representatives. Complies with and helps enforce district and Sodexo policies, food-handling requirements, sanitation procedures, safety rules, and applicable regulatory requirements. Reports accidents, injuries, product losses, property damage, safety hazards, and security concerns in a timely manner. Participates in and supports required safety meetings, training, hazard assessments, and emergency procedures. Assists with loading, unloading, deliveries, warehouse cleaning, stock movement, and other operational duties when staffing or service needs require. Performs other related duties as assigned by the Director of Facilities and Maintenance or designee. Supervisory Responsibilities Provides daily work direction and route assignments to Food Service Delivery Drivers. Trains and coaches drivers on routes, documentation, food and product handling, vehicle inspections, district procedures, and professional conduct. Communicates performance or disciplinary concerns to the Director of Facilities and Maintenance or designee and supports follow-up consistent with district procedures. Helps arrange coverage and redistribute work when employees are absent or operational needs change. Required Qualifications High school diploma, GED, or equivalent work experience. Relevant experience in warehouse operations, inventory control, transportation, distribution, food service, or a related field. Experience providing work direction, coordinating staff, or supervising employees.
• Valid state driver's license and a satisfactory driving record. Ability to complete required food-safety, workplace-safety, and district training. Preferred Qualifications Three or more years of experience in warehouse, logistics, transportation, distribution, or food service operations. Supervisory or lead-worker experience in a delivery, warehouse, school, municipal, or institutional setting. Experience using inventory, routing, spreadsheet, purchasing, or warehouse management systems. Knowledge of food storage, product rotation, sanitation, receiving controls, and temperature-sensitive products. Knowledge Skills and Abilities Ability to organize warehouse activity, prioritize competing requests, and maintain reliable delivery schedules. Ability to lead employees respectfully, communicate expectations clearly, and address routine performance issues promptly. Ability to work cooperatively with Sodexo management and district departments while maintaining clear accountability for assignments and records. Ability to read purchase orders, packing slips, product labels, route sheets, safety instructions, and inventory reports. Basic computer skills, including email, spreadsheets, electronic records, and data entry. Sound judgment, attention to detail, and the ability to respond calmly to operational changes. Basic food-handling skills and knowledge of safe lifting, loading, storage, and material-handling practices. Ability to maintain a positive, service-oriented attitude and communicate with coworkers, school staff, vendors, and other departments with professionalism and respect. Work Schedule and General Requirements Works the schedule established by the district and must be available for schedule adjustments based on deliveries, school operations, emergencies, or seasonal needs. Attends work and reports for scheduled shifts on time with satisfactory regularity. Complies with applicable dress code, identification, and personal protective equipment requirements. Required to drive a district or company vehicle and make deliveries when filling in for drivers and when operationally necessary. Physical Requirements and Work Environment Regular walking, standing, and other means of mobility in warehouse, loading, delivery, and school environments. Ability to reach, bend, stoop, push, pull, and perform repetitive material-handling tasks. Ability to frequently lift up to 35 pounds and occasionally lift or move up to 40 pounds, with assistance or equipment when appropriate. Ability to work around delivery vehicles, loading areas, warehouse equipment, refrigerated or frozen storage areas, and changing weather conditions.
