Job Description

Job Summary Gallop Roofing & Remodeling, Inc. is seeking an organized, dependable, and detail-oriented individual to serve as our Warehouse Manager / Purchasing Agent . This position is responsible for the day-to-day management of warehouse operations, inventory control, material purchasing and procurement, receiving, material distribution, and coordination of materials for jobs, company trucks, and other Gallop locations. The Warehouse Manager / Purchasing Agent plays an important role in ensuring that our production and service teams have the correct materials available when needed while maintaining accurate inventory records, controlling purchasing costs, and developing strong relationships with suppliers. This is a hands-on position that combines warehouse operations, inventory administration, purchasing, material handling, and coordination with Gallop's Production, Service, Accounting, and Management teams. Duties & ResponsibilitiesWarehouse Operations

• Maintain the warehouse in a clean, organized, safe, and orderly condition. Establish and maintain designated storage locations for inventory and job-specific materials. Follow all safety procedures related to the movement, loading, unloading, and storage of materials. Receive supplier deliveries and verify materials, quantities, and condition. Pull and stage materials for scheduled jobs. Load trucks, trailers, and other company vehicles with materials required for jobs. Coordinate material preparation and loading with Production, Service, and other departments as needed. Assist with basic sheet metal fabrication for stock inventory and specific projects when required. Maintain, track, and help ensure the proper condition of warehouse tools and equipment. Inventory Management

• Maintain accurate inventory records in ServiceFusion and other designated inventory tracking systems. Monitor stock levels and ensure commonly used warehouse materials remain adequately stocked. Conduct physical inventory counts and compare actual quantities to inventory records. Investigate inventory discrepancies and complete inventory adjustments when necessary. Properly document positive and negative inventory adjustments. Maintain inventory assigned to warehouse locations, company trucks, and other designated Gallop locations. Track non-inventory items purchased for company trucks using the designated truck inventory spreadsheet. Identify slow-moving, excess, damaged, or obsolete inventory and communicate findings to management. Purchasing Agent Responsibilities The Warehouse Manager also serves as a Purchasing Agent for warehouse and operational materials .

Responsibilities include:

• Monitor inventory levels and determine when stock materials need to be reordered. Purchase warehouse stock and other approved operational materials. Procure materials required for individual jobs when assigned. Work with Gallop's approved suppliers to obtain pricing, availability, lead times, and delivery information. Select appropriate suppliers based on product availability, delivery timing, price, quality, service, and existing Gallop vendor relationships. Coordinate supplier deliveries around production schedules and material needs. Maintain communication with supplier representatives regarding orders, shortages, substitutions, backorders, damaged materials, and delivery changes. Monitor material pricing and communicate significant cost changes to management. Help prevent unnecessary purchases by checking existing warehouse inventory before ordering additional materials. Avoid excessive inventory while maintaining sufficient stock to support company operations. Verify that job-specific and special-order materials are ordered correctly, including manufacturer, product, color, size, quantity, and other specifications. Assist in maintaining supplier contact information, delivery schedules, purchasing procedures, and vendor reference information. Purchase Orders & Receiving

• Receive and process Purchase Orders for: o Customer jobs Warehouse stock Currituck Warehouse Non-stock warehouse expenses Truck expenses Verify purchased materials against Purchase Orders, invoices, packing slips, and physical deliveries. Confirm quantities and products received are correct. Identify and communicate shortages, incorrect products, and damaged materials. Properly receive materials into the correct job, warehouse, truck, or inventory location. Maintain supporting purchasing and receiving documentation according to company procedures. Work with Accounting and Management to resolve discrepancies involving invoices, Purchase Orders, credits, returns, or material costs. Supplier & Vendor Management

• Maintain productive working relationships with Gallop's material suppliers and vendor representatives. Understand the normal products, ordering procedures, and delivery schedules associated with Gallop's primary suppliers. Coordinate vendor returns and material credits when necessary. Follow up on backordered or delayed materials that could affect production. Communicate anticipated material shortages or delivery problems before they impact scheduled jobs. Communication & Coordination

• Communicate promptly with Production, Service, Dispatch, Accounting, and Management regarding: o Material availability Material shortages Backorders Delivery delays Incorrect deliveries Damaged products Inventory discrepancies Significant material price changes Help identify material problems before they become jobsite problems . Maintain accurate documentation so materials and expenses can be traced to the appropriate job, truck, warehouse, or department. Basic Position RequirementsAbilities

• Highly organized with strong attention to detail. Able to manage multiple priorities and material requests simultaneously. Reliable and self-motivated. Strong communication and collaboration skills. Comfortable working independently and taking ownership of warehouse and inventory responsibilities. Able to follow established procedures and maintain accurate records. Able to identify discrepancies and work through problems to resolution. Comfortable communicating with vendors and negotiating or comparing purchasing options when necessary. Physically able to move items weighing 50 lbs. or more . Willingness and desire to grow in knowledge, responsibility, and skill. Knowledge & Computer Skills

• General computer proficiency. Ability to learn and use ServiceFusion for inventory, jobs, Warehouse Tickets, and Purchase Orders. Ability to use Microsoft Excel or similar spreadsheet software. Basic understanding of inventory management and purchasing practices. Ability to read material descriptions, quantities, purchase documentation, job information, and vendor paperwork. Familiarity with roofing and construction materials is preferred but may be learned through training. Working Conditions

• Work is performed in warehouse, yard, office, vehicle, and occasionally jobsite environments. Position requires regular lifting, carrying, loading, unloading, and movement of construction materials. May be required to work Saturdays or additional hours based on weather, workload, deliveries, or production requirements. Must be able to drive a company vehicle and possess a valid driver's license. Must meet Gallop's requirements for Drug Testing, Background Checks, and/or Motor Vehicle Checks.
