Design Studio Operations Coordinator Pepper and Olive Interiors Redlands, CA Job Details Part-time $25 - $28 an hour 1 hour ago Benefits Employee discount Flexible schedule Qualifications Vendor relationship building Sourcing Teamwork Attention to detail Organizational skills Warehouse experience Full Job Description Studio Operations Coordinator Pepper & Olive Interiors | Redlands, California Role Summary Pepper & Olive Interiors is seeking a highly organized, proactive Studio Operations Coordinator to support the behind-the-scenes logistics that keep our design projects moving seamlessly from procurement through installation. This role is the operational link between our design team, vendors, receiving warehouse, trades, and client job sites. The Studio Operations Coordinator oversees the movement and management of furnishings, fixtures, materials, and samples—making sure orders are placed accurately, tracked closely, received properly, and delivered where they need to be, when they need to be there. At Pepper & Olive, hospitality is at the heart of what we do. While this position works primarily behind the scenes, it plays an essential role in delivering the concierge-level experience our clients expect. We are looking for someone who is exceptionally organized, solutions-oriented, comfortable juggling multiple projects, and willing to jump in wherever needed. Key ResponsibilitiesProcurement + Order Management Manage procurement of approved furnishings, lighting, plumbing, materials, accessories, and other project-related items Prepare and place purchase orders accurately and in a timely manner Confirm pricing, lead times, availability, shipping details, and order acknowledgments Track orders from purchase through delivery and maintain accurate order status within studio systems Proactively identify delays, backorders, discontinued products, or other issues that could impact project schedules Coordinate payment requests, deposits, balances, and vendor documentation with the appropriate team members Receiving + Inventory Coordinate shipments to the design studio, receiving warehouse, vendors, and client job sites Perform light receiving at the studio, including smaller furnishings, accessories, samples, and materials Inspect received items for accuracy and visible damage Maintain organized studio inventory, client merchandise, samples, and project materials Ensure items are clearly labeled and allocated to the correct client or project Maintain accurate records of what has been received, stored, delivered, or installed Receiving Warehouse Coordination Serve as the primary point of contact between Pepper & Olive Interiors and our receiving warehouse Provide the warehouse with incoming shipment information and project allocations Review receiving reports and damage notifications Track merchandise stored at the warehouse and maintain visibility into project inventory Coordinate warehouse pulls, deliveries, pickups, and installation schedules Verify that all required furnishings and accessories are received and ready prior to installation Furnishing Installations + Job Site Logistics Coordinate furnishing installation dates with the design team, clients, receiving warehouse, delivery teams, and other vendors Create and maintain installation inventories and delivery lists Confirm that all merchandise is accounted for and installation-ready Coordinate delivery of tile, plumbing, lighting, hardware, furnishings, and other materials to job sites as needed Work closely with the design team to ensure materials arrive in alignment with construction schedules Assist with installation preparation, staging, organization, and on-site coordination Support the design team during installation days as needed Resolutions + Claims Own the resolution process for damaged, incorrect, missing, or defective merchandise Communicate with vendors, manufacturers, freight carriers, and receiving warehouses to resolve issues efficiently Request replacements, repairs, credits, or refunds as appropriate Maintain detailed documentation and follow issues through to final resolution Keep the design team informed of issues that may affect project schedules or client expectations Approach challenges with a solutions-first mindset while protecting the client experience Vendor Relations Develop and maintain positive working relationships with vendors, manufacturers, showrooms, sales representatives, receiving warehouses, and trades Request quotes, pricing, lead times, samples, specifications, and shipping information Maintain accurate vendor contact and account information Communicate professionally and persistently when follow-up or resolution is required Help ensure Pepper & Olive receives the level of service necessary to deliver an exceptional experience to our clients Studio Operations Maintain an organized sample library, receiving area, inventory, and project materials Coordinate sample returns and vendor pickups Assist designers with sourcing samples, product information, and order status as needed Help maintain project procurement records and operational systems Identify opportunities to improve studio processes, organization, and efficiency Jump in to support the team with the day-to-day needs of a busy interior design studio The Ideal Candidate You may be a great furnishings, construction, or the design industry Someone who takes ownership and follows a task all the way through to completion Qualifications Previous experience in operations, procurement, logistics, interior design, retail, construction, project coordination, or a related field preferred Strong computer and organizational skills Comfortable learning and working within project management, procurement, inventory, and accounting software Strong written and verbal communication skills Ability to maintain accurate records and manage detailed information Ability to safely receive, move, and organize smaller boxes, samples, accessories, and materials Valid driver's license and reliable transportation for occasional local pickups, deliveries, and job-site visits Experience within an interior design studio, furniture showroom, receiving warehouse, construction company, or high-end retail environment is especially valuable.
