Physical Requirements:
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, and handle or feel objects and controls. Must have physical capability to effectively use and operate various items of office related equipment such as, but not limited to, a personal computer, calculator, copier, and fax machine. Must be capable of sitting in stationary position for 50% or more of time. Must be capable of standing, walking, moving, climbing, carrying, bending, kneeling, crawling, reaching, pushing, and pulling within the scope of assigned duties. Must occasionally lift and/or move up to 50 pounds. May be occasionally required to drive a motor vehicle locally and out of town. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. This position provides property management for the college through inventory control, using state information systems and coordinating with departments regarding inventory control. This position oversees asset management, property records, receiving and warehouse operations, and the distribution of materials and supplies to campus departments. Manage the College's movable assets, including conducting physical inventories, applying identification tags, tracking depreciation, maintaining accurate records, and completing required reports. Maintain and oversee the materials and property inventory systems to ensure accurate and effective control of College inventories. Initiate, compile, and maintain records and files necessary for room, departmental, and perpetual property inventory control. Prepare and submit required property records, reports, and documentation to the Louisiana Property Assistance Agency (LPAA), including monthly inventory updates, BF-11 disposition requests, vehicle information, and other required reports. Coordinate and supervise periodic departmental audits of movable equipment to ensure the accuracy and accountability of College property records. Compile and submit the annual certification of the College's property inventory to LPAA and legislative auditors. Perform periodic reconciliations between LPAA property activity and General Ledger records to ensure accurate and consistent asset reporting. Responsible for warehouse and receiving operations, including the receipt, inspection, storage, safeguarding, inventory control, issuance, return, distribution, and delivery of materials, supplies, specialty items, equipment, and other College property to campus departments in accordance with College policies and procedures. Coordinate and track incoming and outgoing shipments and deliveries, including verifying shipments against packing lists, maintaining delivery and receiving records, monitoring stock levels, processing returns, and reporting damage, over or under shipments to the appropriate supervisor. Research and resolve discrepancies between items ordered, invoiced, and received, including coordinating with vendors to address damaged, missing, incorrect, over-shipped, or under-shipped items.
