Position Overview The Vault & Inventory Manager plays a critical role in maintaining compliance, accuracy, and organization of the dispensary's product inventory. This position oversees all vault operations, ensures proper product storage conditions, and manages the flow of products into the Dutchie POS system for sales readiness. The Vault & Inventory Manager reports directly to the Operations Manager and works closely with leadership to safeguard product integrity and ensure compliance with New York State regulations. Key Responsibilities Vault & Compliance Oversight Organize and maintain the dispensary vault to ensure cannabis products are secure, accessible, and compliant with state guidelines. Monitor and document vault temperature daily to ensure proper storage conditions. Enforce strict adherence to New York State OCM (Office of Cannabis Management) regulations regarding storage and inventory. Inventory Management Oversee all aspects of product flow: receiving, verifying shipments, labeling, and storing products. Perform routine cycle counts and full inventory audits to maintain 98-99% accuracy. Investigate and resolve inventory discrepancies quickly and effectively. POS System & Sales Readiness Ensure all incoming products are accurately logged, categorized, and made available in Dutchie POS prior to sale. Maintain accurate digital records of product quantities, SKUs, and compliance data. Provide regular reports to the Operations Manager regarding inventory status, discrepancies, and audit readiness. Collaboration & Reporting Work closely with the Operations Manager to streamline product intake and floor restocking processes. Communicate regularly with leadership regarding compliance, product integrity, and operational improvements. Support preparation for state inspections and compliance reviews. Qualifications Minimum 3+ years of inventory or vault management experience in cannabis, retail, logistics, or a regulated industry. Strong knowledge of cannabis compliance regulations (NY OCM preferred). Hands-on experience with Dutchie POS or similar cannabis inventory systems. Exceptional organizational and problem-solving skills with high attention to detail. Ability to handle sensitive and confidential information with discretion. Must be 21+ and able to pass a state-mandated background check. Compensation & Growth Salary range: $50,000 - $70,000 annually (depending on experience).
