Job Description

The Inventory Control Administrator is responsible for supporting purchasing, operations, maintaining inventory accuracy, and ensuring timely completion of job closeout activities. This position serves as a key administrative link between Purchasing, Production, Sales, and Warehouse Operations to ensure material availability, inventory integrity, and accurate job costing.

The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced transactional environment. Essential Duties and ResponsibilitiesPurchasing Administration Create and maintain purchase orders in the ERP system. Obtain and review vendor quotations for materials and services. Monitor open purchase orders and follow up with suppliers on delivery schedules. Communicate shortages, delays, and supplier issues to appropriate departments. Maintain purchasing records, pricing information, and supplier documentation. Inventory Control Monitor inventory levels and support replenishment activities. Investigate inventory discrepancies and coordinate cycle count adjustments. Maintain accurate inventory records in the ERP system. Support physical inventory counts and cycle count programs. Work closely with warehouse personnel to ensure material transactions are completed accurately and timely. Job Closeout Administration Review completed jobs to ensure all materials, labor, and outside processing costs have been properly recorded. Coordinate with Operations & Production Verify inventory consumption and material variances before job closure. Close completed manufacturing jobs in accordance with company procedures. Generate and distribute job cost and variance reports. Research and resolve discrepancies impacting job profitability and inventory accuracy. Administrative Support Prepare reports and spreadsheets related to purchasing, inventory, and production activities. Maintain accurate electronic and paper records. Support department projects and continuous improvement initiatives. Assist with KPI tracking and departmental performance reporting. Provide backup support for other administrative functions as needed. QualificationsEducation Associate degree in Business, Supply Chain, Operations Management, or related field preferred. Equivalent combination of education and experience will be considered. Experience 3-5 years of experience in purchasing, inventory control, materials management, or related administrative roles. Experience in a manufacturing environment strongly preferred. Experience using ERP systems such as Epicor, SAP, Oracle, or similar systems preferred. Skills & Competencies Strong attention to detail and accuracy. Excellent organizational and time-management skills. Proficiency in Microsoft Excel, Outlook, and Office applications. Ability to analyze data and identify discrepancies. Strong verbal and written communication skills. Ability to work independently and collaboratively across departments. Problem-solving and critical-thinking skills. Knowledge of purchasing procedures, inventory management principles, and manufacturing processes. Key Performance Indicators (KPIs) Purchase order accuracy and timeliness. Supplier delivery performance follow-up. Inventory record accuracy. Cycle count compliance. Timely closure of completed jobs. Reduction of inventory discrepancies. ERP data integrity and reporting accuracy. Physical Requirements Primarily office-based work environment. Occasional visits to warehouse and production areas. Ability to sit, stand, walk, and use a computer for extended periods.

Pay:
$25.01 - $30.12 per hour Expected hours: 40.0 per week
