Job Description

The Parts Manager is responsible for designing, implementing, and managing a comprehensive parts inventory, maintenance program, and order desk operation tailored to the needs of a high-volume sawmill environment. This role requires a proactive leader who will establish efficient systems for parts procurement, storage, tracking, and distribution while ensuring minimal downtime for critical mill equipment. The successful candidate will develop standardized processes that support preventive maintenance, emergency repairs, and daily operational requirements. Key Responsibilities Design and implement a complete parts management system, including inventory control, computerized maintenance management system (CMMS) integration, and an organized order desk for internal requests. Establish and maintain an accurate parts inventory database, incorporating critical spares for sawmill machinery such as saws, conveyors, hydraulic systems, electrical components, and processing equipment. Develop and enforce policies for parts ordering, receiving, storage, issuance, and returns to optimize inventory levels, reduce carrying costs, and prevent stockouts. Collaborate with maintenance technicians, operators, and department supervisors to identify required parts, forecast usage, and prioritize procurement based on equipment criticality and production schedules. Manage the order desk function, ensuring timely processing of parts requests, accurate order placement with vendors, and efficient fulfillment and delivery to end users. Negotiate with suppliers to secure favorable pricing, delivery terms, and service levels while maintaining quality standards for replacement parts. Conduct regular inventory audits, cycle counts, and reconciliation to maintain data integrity and identify opportunities for process improvement. Prepare and monitor the parts department budget, tracking expenditures, variances, and cost-saving initiatives. Ensure compliance with safety regulations, environmental standards, and company policies in all parts handling and storage activities. Train and supervise parts department staff, fostering a culture of accuracy, accountability, and continuous improvement. Generate reports on inventory turnover, service levels, obsolescence, and key performance indicators to support informed decision-making by senior management. Support the transition to a preventive maintenance culture by ensuring parts availability aligns with scheduled maintenance plans. Qualifications and Requirements Minimum of 5-7 years of progressive experience in parts management, preferably within a heavy industrial, manufacturing, or sawmill/wood products environment. Demonstrated success in building or significantly improving a parts inventory and maintenance support program from the ground up. Strong knowledge of industrial equipment components commonly used in sawmills, including mechanical, hydraulic, pneumatic, and electrical systems. Proficiency with computerized maintenance management systems (CMMS) such as Fiix, UpKeep, or similar platforms, along with inventory management software and Microsoft Office Suite. Excellent organizational and project management skills with the ability to establish structured processes in a dynamic, fast-paced setting. Proven ability to analyze data, forecast demand, and implement cost-control measures. Experience leading or supervising a small team is preferred. Strong communication and interpersonal skills, with the ability to collaborate effectively across all levels of the organization. High attention to detail and commitment to accuracy in a high-stakes environment where equipment uptime directly impacts production output. Ability to work extended hours or weekends as needed during peak production periods or major maintenance shutdowns. Education Bachelor's degree in Supply Chain Management, Business Administration, Industrial Engineering, or a related field is preferred. Equivalent combination of education and relevant experience will be considered. Relevant certifications (e.g., CPIM, CSCP, or CMMS-specific training) are advantageous.
