This position ensures that client inventory is received, stored, counted, replenished, picked, transferred, quarantined, and adjusted accurately and efficiently. The Inventory Supervisor is responsible for maintaining high inventory accuracy, enforcing WMS procedures, investigating inventory discrepancies, managing cycle-count programs, and developing inventory team members. The position works closely with Operations, Receiving, Picking, Packing, Shipping, Customer Service, and client contacts to resolve inventory issues and maintain service-level expectations. The successful candidate is highly organized, data-driven, detail-oriented, and capable of identifying root causes and implementing corrective actions in a fast-paced, high-volume fulfillment environment. Essential Responsibilities1. Inventory Accuracy & Control Maintain inventory accuracy at or above established company and client KPI standards. Establish and manage daily, weekly, and monthly cycle-count schedules. Ensure inventory counts are performed accurately and discrepancies are properly researched. Investigate inventory variances and identify root causes. Approve inventory adjustments in accordance with company policies and client authorization requirements. Monitor inventory movements to identify potential errors, shrinkage, or process failures. Ensure product is properly identified, labeled, located, and stored. Maintain accurate inventory status for available, damaged, quarantined, hold, expired, and restricted inventory. Monitor inventory aging and identify slow-moving, obsolete, or excess inventory. Ensure inventory is properly secured and protected from damage or loss. 2. WMS Management Maintain accurate inventory records within the warehouse management system (WMS). Ensure associates follow established WMS procedures for receiving, putaway, replenishment, picking, transfers, adjustments, and cycle counting. Monitor WMS transactions for accuracy and completeness. Investigate system-generated inventory exceptions and discrepancies. Ensure inventory movements are completed in the WMS at the time the physical movement occurs. Identify WMS/process issues and work with Operations and IT/WMS support to resolve them. Maintain accurate locations, units of measure, item masters, lot codes, serial numbers, expiration dates, and other required inventory attributes. 3. Cycle Counting Develop and maintain a risk-based cycle-count program. Establish appropriate counting frequency based on inventory value, velocity, client requirements, and historical accuracy. Assign daily cycle-count tasks to inventory personnel. Review and approve completed counts. Research variances before inventory adjustments are made. Track recurring discrepancies by SKU, location, client, associate, process, and root cause. Identify trends and implement corrective actions to prevent recurring inventory errors. Ensure required client-specific counting procedures are followed. 4. Replenishment & Inventory Availability Monitor inventory levels in forward-pick locations. Ensure replenishment tasks are completed before inventory shortages impact order fulfillment. Establish and maintain appropriate minimum/maximum or replenishment parameters. Monitor inventory shortages and investigate root causes. Coordinate with Operations to prioritize replenishment based on order volume and shipping deadlines. Ensure replenishment transactions are accurately completed in the WMS. Identify inventory constraints that could impact customer orders or service levels. 5. Team Leadership & Supervision Supervise, coach, train, and develop Inventory Associates and Leads. Establish daily work assignments and priorities. Conduct daily startup meetings and communicate operational priorities. Monitor employee productivity, accuracy, attendance, safety, and adherence to company policies. Provide coaching and corrective action when performance standards are not met. Recognize employees who demonstrate strong performance and adherence to company values. Develop cross-training plans to improve team flexibility. Ensure adequate staffing and coverage for inventory activities. Promote a culture of accountability, teamwork, safety, and continuous improvement. 6. Inventory Investigations & Root Cause Analysis Lead investigations into inventory discrepancies and client inventory claims. Perform root-cause analysis using tools such as 5 Why, Fishbone/Ishikawa, and Pareto analysis . Identify whether discrepancies originated from receiving, putaway, replenishment, picking, packing, shipping, returns, system transactions, or other processes. Document findings and corrective actions. Implement preventive actions to reduce recurring inventory discrepancies. Escalate significant inventory issues to Operations Management and appropriate client contacts. 7. Client Service Support client inventory inquiries and investigations. Provide accurate and timely inventory information to Customer Service and client representatives. Participate in client inventory reviews and business-review meetings as needed. Support client audits and inventory reconciliation activities. Ensure client-specific SOPs, inventory requirements, and contractual KPIs are followed. Communicate inventory risks that could affect client service levels. 8. Quality & Compliance Ensure inventory processes comply with company SOPs and applicable client requirements. Maintain proper controls for damaged, quarantined, expired, recalled, or restricted inventory. Ensure inventory is stored according to product-specific requirements. Participate in internal and client quality audits. Support corrective and preventive action (CAPA) activities when inventory-related issues occur. Ensure employees follow safety, quality, and housekeeping requirements. 9. Reporting & KPI Management Monitor and report inventory performance, including: Inventory accuracy % Cycle-count accuracy % Inventory adjustment dollars Inventory discrepancies by client/SKU/location Shrinkage Cycle counts completed vs. scheduled Replenishment completion % Stockout frequency Location accuracy Receiving/putaway accuracy Picking-related inventory discrepancies Inventory investigation aging Productivity by employee Client inventory claims Corrective actions and repeat discrepancies Prepare daily, weekly, and monthly inventory reports for Operations Management. Cycle Counting:
Complete 100% of scheduled cycle counts within the required timeframe.
Replenishment:
Maintain sufficient forward-pick inventory to minimize fulfillment interruptions caused by inventory shortages.

Identify the root cause of inventory discrepancies rather than relying solely on inventory adjustments to correct problems.

Ensure employees follow established SOPs and WMS processes consistently.
Continuous Improvement:
Identify opportunities to reduce inventory errors, labor costs, waste, and unnecessary inventory adjustments.
Financial Awareness:
Manage inventory labor and resources efficiently while supporting the company's profitability and service commitments. Required Qualifications 3+ years of warehouse, inventory, or fulfillment experience. 2+ years of supervisory or leadership experience preferred. Experience working in a 3PL, e-commerce fulfillment, distribution, or high-volume warehouse environment preferred. Strong understanding of inventory control principles. Experience with cycle counting and inventory reconciliation. Experience using a WMS. Strong Microsoft Excel skills. Ability to analyze inventory data and identify trends. Strong problem-solving and root-cause-analysis skills. Excellent organizational and communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Ability to work effectively with employees, managers, customers, and client representatives. Preferred Qualifications Experience with Deposco, Logiwa, JASCI, Manhattan, Körber, or similar WMS platforms . Experience supporting DTC and wholesale fulfillment. Experience with EDI-driven fulfillment operations. Experience managing inventory for multiple 3PL clients. Experience with lot, batch, serial-number, or expiration-date inventory. Experience with FDA-regulated or food/supplement products. Lean, Six Sigma, or other continuous-improvement training. Strong Excel skills including PivotTables, XLOOKUP/VLOOKUP, SUMIFS, and data analysis. Experience creating or managing operational dashboards.
