Job Description

About UFS UFS is a growing trucking company based in Petersburg, VA, running roughly 40 trucks across four legal entities. The business has scaled fast and our accounting structure hasn't kept pace. We have a solid in-house accountant handling day-to-day transactions and an experienced outside CFO handling tax. What we're missing is the person in the middle
  • someone who owns the structure and gives ownership financials we can actually run the business from. This role starts part-time (20-40 hours per week) and is expected to grow into a full-time seat as we scale. Contract or employee
  • we are flexible for the right person. This is an on-site role in Petersburg, VA. What You'll Own This is a build role first, then a run role. Standardize the chart of accounts across all four QuickBooks files so the entities report consistently and can be rolled up. Set up intercompany properly
  • clean due to/due from accounts, documented allocations, and eliminations that tie out. Build out accounts payable
  • vendor setup, approval workflow, payment runs, and the controls that go with it. Own the monthly close
  • a real calendar, a real checklist, reconciliations done on time, and a reporting package delivered to ownership every month.
Produce management reporting leadership can make decisions from: entity-level and consolidated P&Ls, cash reporting, and the operating metrics that matter in trucking (cost per mile, revenue per truck, fuel, maintenance, driver pay). Manage the factoring relationship from the accounting side
  • reserve accounts, advance and fee recording, and AR that reconciles to the factor's reports. Coach and structure the work of our in-house accountant, and coordinate with our outside CFO on tax. Required Qualifications Experience closing the books for a multi-entity group
  • not one company with departments, but multiple legal entities with real intercompany activity.
Working knowledge of factored receivables and how factoring flows through the books. Hands-on experience with QuickBooks (Desktop and/or Online), including cleanup and restructuring work, not just data entry. Strong grasp of GAAP-basis accounting and the judgment to know when a small business should and should not apply it. Someone who builds
  • comfortable walking into an imperfect structure and fixing it rather than waiting for a clean system to inherit. Strongly Preferred Trucking, logistics, or fleet-based industry experience. We are an asset-based carrier, and the accounting reflects it
  • factoring, cost per mile, equipment leases, fuel and maintenance, driver settlements. Candidates who have worked in the industry will be prioritized. Nice to Have Equipment financing, leases, and fixed asset scheduling. CPA or CMA. Experience upgrading a small business off QuickBooks onto a larger system down the road.
