Job Overview We are seeking a highly skilled and proactive Transportation Supervisor to oversee and coordinate transportation operations within our organization. The Transportation Supervisor will play a vital role in managing transportation planning, monitor vehicle and transportation compliance, participate in audits, and ensure the department is prepared to respond effectively during emergencies and operational disruptions. Responsibilities Supervise and provide direction to transportation staff, including drivers and other assigned personnel. Develop and monitor transportation schedules, routes, assignments, and daily operations. Ensure vehicles are properly maintained, inspected, documented, and available for required services. Monitor driver performance, attendance, training, licensing, and compliance requirements. Ensure transportation services are provided safely, efficiently, and in accordance with organizational policies. Address transportation-related concerns, incidents, complaints, and operational issues promptly. Coordinate with department directors, supervisors, maintenance personnel, vendors, and outside agencies as necessary. Compliance, Audits & File Maintenance Maintain accurate and organized transportation files and records. Ensure required vehicle, driver, maintenance, inspection, insurance, training, and compliance documentation is current. Conduct routine internal audits of transportation records and operations. Prepare for and participate in state, federal, grant-related, and organizational audits. Identify deficiencies and develop corrective action recommendations when necessary. Monitor compliance with applicable state and federal transportation requirements, organizational policies, grant requirements, and regulatory standards. Ensure documentation is maintained in accordance with required retention schedules. Grant Writing & Funding Research transportation-related grants, funding opportunities, and capital improvement programs. Assist with or independently prepare grant applications, narratives, budgets, supporting documentation, and reports. Maintain documentation necessary to support grant-funded transportation programs and purchases. Monitor grant requirements, deadlines, expenditures, and reporting obligations. Assist leadership in identifying opportunities to secure funding for vehicles, equipment, technology, safety improvements, and transportation operations. Capital Requests & Fleet Planning Evaluate transportation fleet needs and make recommendations regarding vehicle replacement, acquisition, repair, and upgrades. Prepare capital requests for vehicles, equipment, technology, and other transportation-related needs. Maintain documentation supporting capital expenditures and vehicle purchases. Assist leadership with long-term fleet planning and budgeting. Monitor the condition and useful life of vehicles and make recommendations based on safety, reliability, operational needs, and cost effectiveness. Meetings, Conferences & Professional Development Attend all mandatory organizational meetings and transportation-related meetings. Represent the organization at applicable state and federal meetings, conferences, workshops, and training events. Maintain current knowledge of transportation regulations, funding opportunities, safety standards, and industry best practices. Share relevant information and regulatory updates with leadership and transportation staff. Emergency Preparedness & Operations Participate in the development, implementation, and maintenance of transportation emergency preparedness plans. Coordinate transportation operations during emergencies, disasters, severe weather, evacuations, facility disruptions, or other emergency situations. Ensure vehicles and transportation personnel are prepared to support emergency response operations. Maintain emergency transportation procedures, contact information, vehicle readiness documentation, and other required resources. Participate in emergency drills and exercises as required. Coordinate with organizational leadership and appropriate emergency response agencies when transportation support is required. Additional Responsibilities Maintain confidentiality of individuals, employees, and organizational information. Promote a culture of safety, accountability, professionalism, and regulatory compliance. Respond to transportation-related incidents and provide appropriate documentation and follow-up. Participate in investigations involving transportation personnel, vehicles, or transportation-related incidents when assigned. Assist with development and revision of transportation policies and procedures. Perform other duties and special projects as assigned by management. Experience High school diploma or equivalent. Previous transportation, fleet management, supervisory, or related experience. Demonstrated ability to supervise employees and manage daily operations. Strong organizational and recordkeeping skills. Ability to maintain accurate compliance documentation and prepare for audits. Strong written and verbal communication skills. Ability to attend required meetings, conferences, and training events. Ability to respond effectively to emergencies and changing operational needs. Valid driver's license and acceptable driving record. Ability to pass required background and employment screening. Preferred Associate or bachelor's degree in business administration, transportation, logistics, public administration, or a related field. Experience with state or federally funded programs. Experience with grant writing and grant administration. Experience preparing capital requests or managing capital improvement projects. Experience working in a regulated healthcare, human services, nonprofit, or community-based organization. Experience with state and federal compliance audits. Knowledge of transportation regulations and fleet compliance requirements.
Pay:
$38,000.00 - $41,500.00 per year
