Job Description

General Description The Fleet Administrator is responsible for overseeing all aspects of the company's equipment management, maintenance, and inventory control. This role ensures that all company-owned and leased equipment remains operational, cost-effective, and compliant with safety standards while working closely with mechanics, division managers, and vendors.
Key Duties Fleet Management & Oversight:
Code and approve all parts invoices Ensure all EQ inspections are completed daily Organize small tools, serial numbers and assignments Prepare all DMV records for tags and registrations Run Reports as needed for the department Dispatch Lowboys, Water trucks and Dump Trucks as needed
Vendor & Cost Management:
Build and maintain vendor relationships to optimize processes. Ensure accuracy of invoices and payment processing for fleet parts and related expenses. Order and track parts, fluids, and other essential materials as needed.
Team Leadership & Compliance:
Assign and review work, coordinate staff training, and participate in hiring decisions. Monitor OSHA compliance and safety training for all fleet operations. Ensure employees have the tools and equipment needed for safe and productive work.
General Responsibilities:
Communicate professionally with supervisors, teammates, contractors, and vendors. Maintain accurate records and reports related to fleet operations. Perform other duties as assigned to meet company needs.
Qualification Requirements Education & Experience:
High school diploma or GED required. 5+ years of experience in fleet administration, or related roles. Strong knowledge of heavy equipment maintenance and repairs. Experience coordinating with division managers and field teams.
Skills & Competencies:
Proficiency in fleet management systems and computer software. Strong analytical and problem-solving skills to address fleet-related issues. Ability to multitask and prioritize tasks in a fast-paced environment. Strong organizational and leadership abilities. Physical Demands Frequent standing, bending, stooping, and crouching for at least 8 hours per shift. Ability to lift 50 lbs frequently and up to 150 lbs with assistance. Walk frequently on uneven terrain in varying weather conditions. Safely climb on and off heavy equipment as needed. Capable of working in confined spaces and excavations up to 20 feet deep. Work Environment Outdoor construction sites and fleet maintenance facilities in all weather conditions. Exposure to high noise levels, grease, dust, and heavy machinery. Regular work near moving equipment and construction materials. Handling of substances such as form oil, grease, curing compounds, gasoline, diesel fuel, and concrete.
