Fleet Administrator

Job Description

The Fleet Office Administrator plays a key role in maintaining the efficiency of our fleet department. This position supports day-to-day administrative tasks, assists with vehicle records, tracks maintenance schedules, and ensures compliance with company and DOT standards. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment. Key Responsibilities Maintain and update vehicle and equipment records, registrations, and inspection logs. Schedule and track vehicle maintenance, repairs, and inspections. Process purchase orders, invoices, and vendor communications related to fleet services. Assist with driver compliance documentation (licenses, certifications, insurance). Support fuel card management and monthly reporting. Coordinate with project managers and field teams regarding vehicle assignments and availability. Prepare reports and spreadsheets for fleet performance, costs, and utilization. Perform general administrative duties (filing, scanning, correspondence, data entry). Qualifications 2+ years of administrative experience (fleet, construction, or logistics preferred). Strong organizational and multitasking skills with attention to detail. Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Familiarity with fleet management software is a plus. Excellent written and verbal communication skills. Ability to work both independently and as part of a team.
