Fleet Parts & Maintenance Coordinator Class 8 Heavy-Duty Truck & Trailer Z-Force Transportation | Full-Time | Chicago Area Position Overview Z-Force Transportation is seeking an experienced Fleet Parts & Maintenance Coordinator to support our Parts and Fleet Maintenance teams across a fleet of 1,000+ assets. This is a hands-on role focused on Truck and trailer parts, inventory control, work orders, purchasing/receiving, and fleet maintenance systems . The ideal candidate will have strong heavy-duty parts knowledge combined with experience using TMS, fleet maintenance, CMMS, or work-order systems . This person will work alongside our existing Parts Managers, Fleet Maintenance Managers, technicians, Parts Team, vendors, and Accounting team to improve accuracy, processes, and accountability. Key Responsibilities Identify and source Class 8 truck and heavy-duty trailer parts Help maintain accurate physical and system inventory Perform cycle counts and research inventory discrepancies Ensure parts are properly received, stocked, issued, and tracked Ensure parts used on repairs are applied to the correct asset and work order Help ensure work orders are created correctly and timely Review open work orders for missing parts, labor, repair information, or incorrect coding Work with Fleet Maintenance Managers and technicians to complete missing work-order information Help ensure completed work orders are reviewed and closed accurately and timely Assist with purchase orders, receiving, vendor invoices, cores, returns, credits, and warranties Identify aging work orders, open POs, delayed invoices, and other system exceptions Assist with stocking, organizing, receiving, and other parts-department duties as needed Help improve processes between Parts, Maintenance, vendors, and Accounting Heavy-Duty Parts Knowledge Candidates should have strong working knowledge of Class 8 truck components , including: Engines and engine components Detroit, Cummins, Volvo/Mack and other heavy-duty platforms DEF, DPF, SCR and aftertreatment systems Transmissions, clutches and drivetrain Steering and suspension Air brake and ABS systems Wheel ends, hubs, bearings and seals Electrical, starters, alternators, batteries and sensors Cooling and HVAC systems Air systems Fifth wheels PM parts, filters, fluids, belts and hoses Commercial trailer knowledge should include brakes, ABS, suspensions, axles, wheel ends, air systems, lighting/electrical, landing gear and related components . Systems & Process Knowledge Experience with TMS, fleet maintenance software, CMMS, ERP, inventory, or work-order management systems is strongly preferred. The successful candidate should be comfortable: Creating and reviewing work orders Issuing parts to assets and work orders Managing inventory transactions Creating and tracking purchase orders Reviewing open and aging work orders Reconciling inventory discrepancies Managing core returns & Warranty claims Reviewing receiving and invoice discrepancies Running reports and identifying missing or inaccurate transactions Qualifications 3+ years of Class 8 heavy-duty truck parts or fleet maintenance experience preferred Strong Class 8 truck parts knowledge Commercial trailer parts knowledge Experience with fleet maintenance/TMS/work-order systems Parts inventory and inventory-control experience Ability to identify parts using VINs, serial numbers, part numbers, OEM catalogs and diagrams Strong computer and data-entry skills Strong attention to detail and follow-through Ability to identify problems and follow them through to resolution Ability to work collaboratively with existing Parts and Fleet Maintenance teams Comfortable working both in fleet systems and hands-on in the parts department We are looking for someone who understands Class 8 trucks and heavy-duty parts but also understands the systems and processes necessary to keep a large fleet maintenance operation accurate and organized.
